Tax Accountant for Pilates Studios in Ontario and Across Canada
We put your reformers, Cadillac and trapeze tables, wunda chairs, ladder barrels and spine correctors into Class 8 at 20% instead of letting them be written off as an expense, split the interest from the principal on every financed apparatus purchase, hold prepaid session packages as deferred revenue until the sessions are actually delivered, charge 13% HST correctly on mat classes, privates, duets and packages, and run your instructor and front-desk payroll with WSIB. Whether you run a single reformer room, a classical studio with a full apparatus floor, a contemporary studio mixing mat and equipment classes or a multi-location group, we handle the capital-asset accounting, the package liability, the HST and input tax credits, the instructor classification, and plan the salary, dividends and eventual sale of your company — with AFFORDABLE flat fees.
AFFORDABLE Pilates Studio Tax Accountant
A Pilates studio is a capital-intensive business wearing the clothes of a service business. Before the first client walks through the door you have bought a room full of reformers, very often a Cadillac or trapeze table, wunda chairs, ladder barrels and spine correctors, and frequently financed the lot. Every one of those pieces is Class 8 depreciable equipment at 20%. It is not inventory, and it is not an expense in the year it arrives, even when the invoice came with a payment plan. Get that one decision wrong and every number after it is wrong: your loss in year one, your profit in year two, your capital cost allowance pool and the tax you pay on both.
The business model that follows is dictated by that capital. Your revenue per reformer is the number that decides whether the lease works. Private sessions, semi-private duets and mat classes carry completely different margins for completely different instructor cost. Packages sold in advance sit as a liability until the sessions are taught. And where a studio runs more than one kind of revenue line, it is a mixed supplier for HST purposes and has to apportion its input tax credits rather than claim them in full. At Gondaliya CPA we specialize in capital-asset, package-liability and HST bookkeeping and corporate tax planning for Pilates studios, with AFFORDABLE flat-fee support that keeps you CRA-compliant and stops you paying more tax than you owe.
Let us handle the numbers so you can focus on your schedule, your clients and your floor.

Accounting That Understands How a Pilates Studio Actually Works
A Pilates studio carries a room full of capital equipment before it earns a dollar, and the accounting has to start there. Your apparatus depreciates on one schedule and your fit-out on another, a financed reformer splits into deductible interest and non-deductible principal, packages sold in advance are a liability until the sessions are taught, and 13% HST applies to everything a for-profit studio sells. At Gondaliya CPA we understand the financial reality of an equipment-heavy studio and provide practical, industry-focused solutions across the GTA and all of Ontario.
Stay Compliant and Minimize Your Pilates Studio Tax
For a Pilates studio, staying onside with CRA and WSIB and paying the least legal tax are the same job. We keep every filing on schedule while depreciating your apparatus correctly, deferring package revenue until the sessions are delivered, and claiming every operating dollar the T2 allows, so nothing is missed and nothing invites a reassessment.

Why Choose Our Accounting Services for Pilates Studios?
Tax Planning — Apparatus & Fit-Out Expertise
We know the floor: reformers, Cadillac and trapeze tables, wunda chairs, ladder barrels and spine correctors in Class 8 at 20%, sprung flooring and studio build-out as Class 13 over the lease, computers in Class 50. We time purchases and protect the $500,000 Small Business Deduction.
Consulting — Package & Deferred-Revenue Bookkeeping
Our bookkeeping releases prepaid session packages into income as the sessions are taught, tracks revenue per reformer and per class type, and ties your HST returns to the revenue you have actually earned rather than the cash you took in.
CRA Representation — HST, ITC & Worker Status
When CRA reviews your package timing, your apparatus CCA, your input tax credit apportionment or your instructor classifications, we prepare the response, reconcile WSIB, and pursue relief on Form RC4288 where penalties came from a prior error.
Bookkeeping — Payroll, Incorporation & Sale
We run your instructor and front-desk payroll with WSIB, model the profit level where incorporating pays off, and handle the section 85 rollover on Form T2057 so your apparatus and goodwill move across without triggering tax.

Accounting & Tax Services Tailored for Pilates Studios
Real, practitioner-level CPA expertise for classical and contemporary Pilates studios, reformer rooms, single-instructor practices and multi-location groups across Ontario — built for how a capital-heavy studio actually earns its money.
- We prepare your T2 with GIFI on Schedule 125 and Schedule 100, reporting mat class, private session, duet and package revenue on their correct lines and carrying undelivered session packages as a liability, so CRA’s automated matching never flags your studio needlessly.
- We claim capital cost allowance on Schedule 8 with your reformers, Cadillac and trapeze tables, wunda chairs, ladder barrels and spine correctors in Class 8 at 20%, because a studio that expensed its apparatus instead hands CRA thousands in extra tax.
- We capitalize your sprung flooring, mirrors, change rooms and studio fit-out as Class 13 over the lease term rather than expensing them; on one studio we moved a $64,000 build-out into Class 13 and corrected a badly overstated loss.
- Where your apparatus is financed we deduct the interest under ITA 20(1)(c) and never the principal, and the reformer still enters the Class 8 pool at its full cost regardless of how little of the loan has actually been paid down.
- We file your T2 within six months of your fiscal year-end and pay any balance within three months, holding the roughly 11.2% (from July 1, 2026) Ontario small-business rate on the first $500,000 of active income so penalties never erode a thin studio margin.
- We sync your booking and billing system to QuickBooks Online so every mat class, private session, duet and package posts to the right account, and prepaid packages land in deferred revenue instead of inflating the month the client paid you.
- We build a package schedule that releases each prepaid block into income as the sessions are delivered; on one studio we moved $41,000 of unused session credits out of sales and into a deferred liability, correcting badly overstated profit.
- We track revenue per reformer and per class type, so you can see what a private session, a duet and a mat class each contribute after instructor cost, instead of guessing which part of your schedule is actually paying the lease.
- We keep a fixed-asset register for every reformer, chair, barrel and spine corrector with purchase date, cost and serial number, so your Class 8 pool, your capital cost allowance claim and your insurance schedule all agree at year-end.
- We capture the 13% HST input tax credit on apparatus, rent, utilities and software through receipt-capture software, and where your studio carries more than one kind of revenue line we apportion those credits rather than claiming them in full.
- We set up instructor and front-desk payroll, withholding income tax, CPP and EI and remitting on the PD7A by the fifteenth of the following month, because the late-remittance penalty is graduated and reaches 10% on a repeated failure.
- We test each instructor against CRA’s control, tools, chance of profit and integration factors before you choose between T4 and contractor, because a studio that guesses wrong can face years of back CPP and EI with penalties and interest.
- We register and reconcile your WSIB coverage, which is required from your very first hire, and file premiums on assessable instructor and front-desk wages so an unregistered studio is not met with retroactive premiums and penalties later on.
- We manage Ontario Employer Health Tax once annual payroll passes the $1,000,000 exemption, file the T4 and T4 Summary by the last day of February, and reconcile them to the PD7A so year-end slips never trip a payroll review.
- We report the taxable benefit where an instructor or owner takes free or discounted classes, adding it to the T4; on one studio this cost under $600 to correct properly instead of a reassessment reaching back across three prior years.
- At a for-profit studio your mat classes, private and duet sessions, packages and retail are taxable at 13% HST, so there is no exempt line to hide behind and CRA will assess the tax you should have collected.
- You must register once taxable revenue passes $30,000 over four consecutive calendar quarters, and we track the exact quarter you cross it, so CRA cannot assess back HST on sessions and packages for which you never charged any.
- Where your studio carries more than one kind of revenue line you are a mixed supplier and cannot claim input tax credits in full; we build a fair and reasonable apportionment, document the basis for it, and apply it consistently every period.
- We claim the input tax credits your apparatus, fit-out, rent and software carry; on one studio we recovered $8,900 of HST on a six-reformer purchase and a sprung-floor installation that the previous bookkeeper had simply never claimed.
- We reconcile the HST on your returns to the revenue on your T2 every period, because CRA compares the two and a studio whose sales and package deferrals do not agree is among the fastest files pulled for a costly audit.
- We set the salary and dividend mix for the owner, paying enough T4 salary to build RRSP room while the balance flows as dividends, so combined tax stays near 11.2% rather than the 53.53% top personal rate in Ontario.
- We keep active income under the $500,000 small-business limit and watch the associated-corporation and passive-income rules that can grind that limit down where an owner runs a second location or holds investments inside the same company.
- We time apparatus purchases against your fiscal year-end so the half-year rule and the 20% Class 8 rate give the largest first-year deduction; buying two reformers in the right month moved roughly $4,000 of tax for one studio.
- We plan at least two years ahead so your shares qualify for the $1.275M lifetime capital gains exemption under ITA 110.6, purifying the company of non-active assets long before a sale of your studio is ever on the table.
- We use the reserve for undelivered sessions under ITA 20(1)(m) as a planning lever, since packages sold in December but taught in the new year should not all be taxed in the year the client happened to pay.
- We reconstruct class, session, package and retail revenue from bank deposits, card-processor statements and your booking system where no bookkeeping exists across the unfiled years, so CRA cannot assess your studio on its own arbitrary estimate instead.
- Late filing costs 5% of the balance owing plus 1% per month for up to twelve months, so we file your oldest unfiled T2 first to stop the penalty compounding and limit the arrears interest on your corporation.
- We file the missing HST returns and reconcile the 13% charged on classes, sessions and packages against what was actually remitted, so tax you already collected is properly accounted for before CRA assesses the gap with interest.
- We rebuild the undepreciated capital cost pools across the unfiled years so missed capital cost allowance on Class 8 apparatus and Class 13 fit-out is recovered; on one studio we restored $19,000 of allowance never claimed.
- Where the years are old enough we assess whether a voluntary disclosure fits before CRA makes contact, because the program requires a filing to be voluntary, complete and at least one year past due to be considered at all.
- When CRA opens an audit we manage the whole file and answer the revenue-timing, HST and payroll queries inside the deadlines, so a review of one year does not expand into reassessments of the two years before it.
- We defend your deferred-revenue position when CRA challenges package timing, showing that ITA 12(1)(a) brings the money into income and ITA 20(1)(m) gives a reserve for the sessions your studio has not yet delivered.
- We defend the capital treatment of your apparatus with purchase invoices, the fixed-asset register and the Class 8 pool, because a studio that expensed six reformers in a single year is the classic trigger for a costly reassessment.
- We answer input tax credit reviews with the apportionment working papers, the revenue split behind them and the invoices supporting each claim; on one studio this preserved $11,400 of credits CRA had proposed to deny outright.
- We file the Notice of Objection within 90 days of a reassessment and pursue taxpayer relief on Form RC4288 where penalties came from a prior accountant’s error, protecting both your appeal rights and your studio’s cash.
- We prepare the CSRS 4200 compilation engagement financial statements, the Notice to Reader a lender wants across two fiscal years before approving the $80,000 of equipment financing behind a full apparatus floor for your studio.
- Your compiled statement of financial position presents undelivered session packages as a liability and your apparatus at net book value, giving a lender the working-capital picture that a bare T2 return simply cannot show on its own.
- We build the statement of operations with class, session, package and retail revenue classified consistently across two years and tied to the T2 filed with CRA, so a lender approves the file rather than declining on unexplained noise.
- The CSRS 4200 communication discloses that no audit or review was performed, and without that report a bank or an equipment lessor will not release the credit a studio needs to add reformers or fit out a second room.
- We deliver the compiled statements within 30 days of receiving your records and the year’s figures, because an equipment lease approval collapses when the lender’s conditional offer expires before the file is produced, and that costs you the apparatus.
- We incorporate your studio under the Ontario Business Corporations Act, giving limited liability plus the roughly 11.2% Ontario small-business rate; on a studio clearing $160,000 of profit that deferred roughly $40,000 of tax until the money was drawn.
- We complete the ITA section 85 rollover on Form T2057, transferring your reformers, apparatus, fit-out and goodwill into the corporation at elected amounts, so the transfer does not trigger a capital gain or recapture on the way in.
- We register the corporation’s Business Number, HST and payroll accounts in the first weeks, register for HST once you pass $30,000 over four consecutive calendar quarters, and close the old accounts so revenue is never remitted twice.
- We register WSIB coverage before your first instructor teaches a class, because coverage is required from the first hire and an unregistered studio faces retroactive premiums and penalties on wages it has already paid out.
- We structure the share classes and set the first fiscal year-end up to 53 weeks after incorporation, so dividends can later be split among family shareholders and the first T2 balance-due date is deferred to protect studio cash.
- We rebuild months or years of neglected books from your booking-system exports, card-processor deposits and bank statements, so every mat class, private session, duet and package lands in the right account before your studio’s year-end arrives.
- We construct the deferred-revenue schedule your prior bookkeeper never kept, moving undelivered session packages out of sales and into an unearned liability; on one studio this reclassified $37,000 that had overstated a single year’s profit.
- We rebuild the fixed-asset register and the Class 8 pool from apparatus invoices and finance agreements, separating the deductible interest from the non-deductible principal on every reformer that was bought on a monthly payment plan.
- We reconcile card-processor deposits, processing fees and pre-authorized debits against the ledger so the cash that actually reached your account matches recorded revenue, closing the gaps CRA looks for on a package-heavy studio file.
- We capture every missed 13% HST input tax credit buried in old apparatus, fit-out and supply invoices, and where your studio has more than one kind of revenue line we apply the apportionment instead of claiming the credits in full.
- If you hold a US entity or a Delaware LLC over a cross-border studio location, we prepare Form 1120 or 1120-F and the Form 5472 that a foreign-owned US corporation must file or else face a $25,000 penalty.
- We apply the Canada-US tax treaty so session and package income earned through a US studio is not taxed twice, claiming foreign tax credits on your Canadian T2 for the US tax your corporation has already paid over.
- We handle the withholding obligations when your Canadian studio pays licence fees or equipment-lease payments to a US party, so the correct treaty rate applies instead of the 30% statutory rate the IRS would otherwise expect.
- We file the Form 8858 or 8865 disclosures a Canadian owner needs for a US disregarded entity or partnership holding a studio location, keeping your cross-border structure onside with the IRS and CRA at the same time.
- We register your US entity for state sales tax where classes and packages are taxable there and reconcile it against your Canadian 13% HST, so a studio operating on both sides of the border never misses a filing.
- Where your studio has unreported session cash, drop-in takings or package income from earlier years, we file a Voluntary Disclosures Program submission before CRA makes contact, because a disclosure only counts if it is genuinely voluntary.
- We prepare the disclosure on Form RC199 with a complete income and HST reconstruction, because the program requires the filing to be voluntary, complete and at least one year past due, and an incomplete submission is simply rejected.
- We disclose HST charged on classes, sessions and packages but never remitted, so the tax your studio already collected from clients is regularized under the program rather than assessed later with penalties stacked on top of it.
- We correct unfiled T4s and cash paid to instructors off the books, bringing the payroll source deductions into the same disclosure, so your studio clears its CPP, EI and income-tax exposure in one application rather than three.
- We assess which track your disclosure belongs in and time the filing so a single application covers every open tax and HST year; on one studio this cleared four open years for roughly $3,000 less in professional fees.

Case Studies: Pilates Studio Accounting & Tax
Oakville Reformer Studio — Apparatus Expensed Instead of Capitalized
The problem: An Oakville studio had bought eight reformers, a trapeze table, two wunda chairs and a ladder barrel across two years, and the bookkeeper had written the whole $96,000 off as an expense in the year each piece arrived. Three reformers were financed, and the full monthly payment, principal included, had been deducted as well. The result was a large loss in one year, an inflated profit in the next, and no capital cost allowance schedule at all.
What we did: We rebuilt the fixed-asset register from the invoices and finance agreements, placed every apparatus item in Class 8 at 20% with the half-year rule applied in the year of purchase, split each finance payment so only the interest was deducted under ITA 20(1)(c), and restated the filed returns.
The result:
- $96,000 of apparatus correctly capitalized in Class 8
- Two T2 returns restated with the CCA claim rebuilt
- Only loan interest now deducted, principal removed
Toronto Pilates Studio — Package Liability Never Booked
The problem: A Toronto studio sold ten and twenty session packages and recognized every dollar as revenue on the day the client paid. Profit spiked in January and September when packages were sold and collapsed in the quiet months, and the corporation was paying tax on sessions it had not yet taught. Nothing in the ledger showed how many prepaid sessions were still owed, and expired packages were never separated from live ones.
What we did: We counted the outstanding session credits at year-end, moved them out of sales into a deferred liability, and set up a schedule that releases each package into income as sessions are delivered, using the reserve under ITA 20(1)(m) for what remained undelivered. Expiry dates and remaining session counts are now tracked in the booking system alongside every reservation, and reconciled at each month end.
The result:
- $58,000 of undelivered sessions moved to deferred revenue
- Overstated taxable income corrected for the year
- Monthly statements now show genuinely earned revenue
Kitchener Pilates Studio — Mixed Supply and ITC Apportionment
The problem: A Kitchener studio ran two distinct revenue lines through one bank account: ordinary mat and reformer classes taught by Pilates instructors, and sessions delivered by a regulated health professional as part of a health service. Every dollar of HST on rent, apparatus, utilities and software was being claimed as an input tax credit in full, and nothing in the books recorded how the two lines were separated or on what basis.
What we did: We treated the studio as a mixed supplier, built a fair and reasonable apportionment of its input tax credits based on the measured revenue split between the two lines, documented the method and the working papers behind it, recoded the point-of-sale so each line reports separately, and set a quarterly review as the schedule changes.
The result:
- Input tax credits apportioned on a documented basis
- Two revenue lines now reported separately at the till
- Method reviewed each quarter as the schedule shifts
Our clear, efficient process ensures every step is transparent, building trust and long-term client relationships.
