Tax Accountant for Storage Facility Owners in Ontario and Across Canada
Letting space for storage is a commercial supply of real property, so the rent carries 13% Ontario HST and the $30,000 small-supplier threshold measured over four consecutive calendar quarters reaches you the way it reaches any other taxable business. The consequence nobody tells an operator about is the useful one: because the supply is taxable rather than exempt, the tax paid on the slab, the buildings, the paving, the perimeter fence, the gate and access control, the cameras, the climate-control plant, the repairs and the professional fees is recoverable under section 169 of the Excise Tax Act instead of sunk into what the site cost. The second question is harder, and the obvious answer to it is wrong. A storage facility leases real property, and subsection 125(7) of the Income Tax Act carves out only a business of leasing property other than real or immovable property — so an owner-run site is normally a specified investment business with no small business deduction, unless it employs more than five full-time employees throughout the year. We settle both before the return goes in. AFFORDABLE fixed fees, quoted before we start.
AFFORDABLE Storage Facility Tax Accountant
Almost every storage operator we meet has been handed guidance written for somebody letting out a house, and on a storage site the three load-bearing points of it run the other way: the rent is taxable rather than exempt, the registration machinery does reach you, and the tax on what the site cost comes back rather than disappearing — which is our rental property owners page read in reverse. What follows from that is specific and unglamorous. A row of corrugated-metal buildings on a slab, a perimeter fence, a paved drive aisle and a few prefabricated containers are not one asset called the building; they belong in different capital cost allowance classes at different rates, and an adviser who puts the whole site in Class 1 at 4% quietly shortens your deductions every year. The revenue is not one line either. Unit rent, a move-in administration fee, late and lien charges, a tenant protection commission, locks, boxes and packing supplies and sometimes a truck rental commission each behave differently in the books and on the return. And the question an owner loses the most money on — whether the corporation is earning active business income or income from property — is decided by a statutory definition and a head count, not by how hard anyone on the site works. At Gondaliya CPA we settle those three things while they are still bookkeeping decisions rather than a reassessment.
As an accountant for storage facility owners we act for self-storage and mini-storage sites, climate-controlled facilities inside converted buildings, outdoor compounds let for boats, trailers and recreational vehicles, portable container operations, and owners running two or more locations under one corporation. One site or several, staffed through the day or run off a keypad and a telephone number.
Let us carry the books, the HST returns and the capital cost schedules while you keep the gate working and the units full.

Accounting That Understands How a Storage Facility Actually Works
A storage site earns taxable rent from real property, and almost everything else follows from that one characterisation. The registration rules apply, the tax on construction and site works is recoverable, the structures and the ground they stand on fall into several capital cost allowance classes rather than one, and the corporation’s access to the small business rate turns on a statutory employee count instead of on effort or profitability. We set a storage operator’s books and filings up around those four consequences, at sites of every size from Windsor to Ottawa.
Stay Compliant and Minimize Your Storage Facility Tax
A storage operation can be a fence, a keypad and a spreadsheet in its first year and a multi-site corporation with payroll in its fifth, and the questions that decide its tax bill change shape as it grows. Filings go in on time — the corporate return, the HST returns, the payroll remittances — and alongside them we check that the recoverable tax has actually been recovered, that each structure on the site is in a class it can be defended in, and that the characterisation of the income rests on evidence rather than on habit. The aim is a return with nothing left unclaimed on it and nothing on it that needs explaining.

Why Choose Our Accounting Services for Storage Facility Owners?
Tax Planning — Supply, Credits and the Rate
We confirm the supply is taxable, recover the credits on what the site cost to build and run, and test the small business deduction against the employee count before the year closes instead of arguing it afterwards.
Consulting — What Each Asset on the Site Is
Our bookkeeping puts the structures, the fencing, the surfaces and the containers into their own capital cost allowance classes, so the deduction on a build-out is the one the Regulations actually allow you.
CRA Representation — Credits, Classes and the Head Count
When the Agency queries an input tax credit, the class a structure went into, or whether the corporation really had more than five full-time employees, we assemble the invoices and the payroll records and answer the letter.
Bookkeeping — Unit Rent to Lien Recovery
We track unit rent, administration and late charges, protection commissions, retail sales and recoveries on delinquent accounts as the separate streams they are, so the statements show where the money came from.

Accounting & Tax Services Tailored for Storage Facility Owners
Practitioner-level CPA work for self-storage and mini-storage sites, climate-controlled facilities, outdoor boat, trailer and recreational-vehicle compounds and portable container operations across Ontario — built for a business that collects taxable rent on real property and spends heavily on the ground it stands on. One note on the question we are asked first and will not answer in the abstract. Whether your receipts are income from property, reported on Form T776, or income from a business, reported on Form T2125 under guide T4002, turns on the number and types of services you supply to tenants. CRA treats basic services — heat, light, parking and laundry — as pointing toward property income, and additional services such as cleaning, security and meals as pointing toward a business, with each further service raising the likelihood; its reference on the question is Interpretation Bulletin IT-434. A storage site commonly supplies gated access control, security and sometimes climate control, which sit on the business-indicating side of that list — but we have found no CRA position specific to storage, so we do not tell you in advance which form you will file. We settle it on what your site actually provides, and we write the reasoning down where it can be produced later.
- Unit rent, administration and late charges, lien recoveries, tenant protection commissions and retail sales of locks and packing supplies each take their own GIFI line on schedules 100 and 125, because a reader should see what the site earns and from what.
- Where the site is not incorporated the same figures go on your personal return instead, as property income on Form T776 or as business income on Form T2125, and which applies is settled on the services you supply rather than on the label you prefer.
- Capital cost allowance goes on Schedule 8 with the buildings, the fencing, the paved drive aisles and any containers in their own classes, because a storage site very rarely belongs in one class at one rate.
- Undepreciated capital cost under subsection 13(21) is tracked class by class, so a disposal produces the recapture or the terminal loss that the pool it came out of actually supports rather than one blended figure nobody can take apart.
- Interest on money borrowed to buy or build the site is deducted under paragraph 20(1)(c), and wages paid to an owner or a family member on the gate are tested against section 67 for reasonableness before they go anywhere near the return.
- Your rent roll drives the ledger rather than sitting beside it, so each unit-month billed, discounted, waived or written off is traceable to a tenant and a date instead of appearing as one deposit figure at the end of the month.
- Administration fees, late and lien charges, protection commissions and retail sales of locks, boxes and packing supplies are posted to their own accounts, because they are not rent and they do not behave like rent at year end.
- Rent paid ahead is held as deferred revenue and released over the months it covers, which matters on a site where annual prepayment is common and where a December deposit can otherwise inflate a year it does not belong to.
- Every invoice carrying HST is captured through Dext or Hubdoc and coded so the recoverable tax on it is identified before the return is filed, rather than found later when the documentary trail has already gone cold.
- Gate and access-control exports are reconciled against the billing records each month, which is how an occupancy figure a lender will rely on gets built out of something other than memory and a walk around the site.
- Site managers, gate and yard staff and weekend relief are run through a proper payroll with source deductions calculated, remitted on the PD7A account and reconciled, and with the February slip filings handled as part of the engagement.
- Hours are recorded by person and by week, not estimated at year end, because on a storage file the payroll record is the evidence behind the single most valuable question your corporation has to answer about itself.
- That question is the full-time head count, and the distinction between a full-time and a part-time employee is worth money here, so we keep the record in a form that still means something three years after the person left.
- Contractors who clear snow, cut weeds, repair doors or patch asphalt are assessed as contractors or employees on the facts of the arrangement before the first payment, not after a ruling request has already been filed against you.
- WSIB coverage is opened from the first hire and the premium is trued up to payroll as it was actually run, with clearance certificates collected from independent trades before their invoices are paid.
- Storage rent is a taxable supply, so 13% Ontario HST is charged, collected and reported, and the small-supplier threshold of $30,000 over four consecutive calendar quarters is monitored rather than noticed after it has been crossed.
- Section 169 is the provision that pays for this page. The tax on construction, the slab, the buildings, the paving, the fencing, the gate, the cameras and the climate plant is recoverable, and on a build-out that is a substantial sum.
- Running costs carry recoverable tax too, so the power behind the climate-controlled units, the snow clearing, the weed and pest control, the door and asphalt repairs, the insurance brokerage and our own fees are all tested for credits.
- Credits are only as good as the documents behind them, so each supplier invoice is checked for the registration number and the particulars CRA expects to see, before the claim goes in rather than after it is questioned.
- Where an operator registered late, we work out what can still be recovered on the assets and the costs already paid for, and what has been lost, so the position is known instead of hoped about.
- Subsection 125(7) defines a specified investment business as one whose principal purpose is to derive income from property, and rents are named in that definition, which is where a storage operation starts rather than where it finishes.
- The definition carves out a business of leasing property other than real or immovable property. Equipment leasing escapes by that wording. A storage facility does not, because the thing it leases is real property.
- So the honest starting point is that your operation is a specified investment business, its income is not active business income, and the small business deduction on the first $500,000 is out of reach unless one condition is met.
- That condition is the employee test: more than five full-time employees in the business throughout the year, which CRA reads as six or more working a full day each working day, and part-time staff cannot count as full-time.
- Income Tax Technical News No. 41 then accepts five full-time employees plus one or more part-time, superseding paragraph 15 of the archived IT-73R6, and a further exception reaches a corporation served by an associated company.
- Unfiled corporate years are worked through oldest first, because the capital cost allowance pools and the undepreciated capital cost carried into each year depend entirely on what the year before it was supposed to have claimed.
- HST returns for the same periods are rebuilt alongside the T2s, since an operator who never charged tax on storage rent has usually also never claimed the credits on the site, and the two figures have to be computed together.
- The specified investment business position is settled for each year separately, because a head count that cleared the test in one year and failed it in the next produces two different answers on two consecutive returns.
- Where a small business deduction was claimed in a year the corporation was not entitled to it, we say so and correct it, which is a far better outcome than having the Agency find it across four open years at once.
- Arrears interest keeps running on whatever turns out to be owing, so the order of work is set to get the largest liability filed first rather than to finish the easiest year soonest.
- Input tax credit reviews are the most common letter a storage operator gets, and they are won or lost on documents, so we assemble the contractor invoices and the registration particulars behind every claim under query.
- Capital cost allowance class reviews are answered with what the structure is actually made of and how it actually sits on the ground, because that is what the Regulations turn on rather than what the building looks like from the road.
- A specified investment business query is answered with payroll records, not assertions, and we would rather show the Agency a defensible head count than argue about the character of the business in the abstract.
- Where an assessment has already issued on a basis we think is wrong, we work through the objection route and keep the file in a state where the next person to read it can follow the reasoning without us.
- Where the assessment is right and the tax is simply owed, we say that too, and move the conversation to relief from penalties and interest under Form RC4288 instead of spending your money on a dispute.
- Compiled statements prepared under CSRS 4200, which is what a lender, a broker or a buyer asks for when a storage site is being refinanced, expanded or sold, and what a franchisor or a management company will expect to see.
- Revenue is presented by stream rather than as one rent figure, because a reader underwriting the site needs to see how much of it is recurring unit rent and how much is fees, commissions and retail.
- Deferred rent is shown for what it is, since a site taking annual prepayments can otherwise present a cash balance that looks like performance and is in fact an obligation to deliver eleven more months of space.
- The asset schedule shows the structures, the surfaces, the fencing and the containers by class with the rate against each, which is also the schedule a buyer uses to work out their own position after closing.
- Where the corporation is a specified investment business we do not hide it in a note, because the tax rate a buyer will face on the income is part of what they are paying for.
- We give you the unwelcome answer before the invoice: incorporating a storage site does not by itself buy you the small business rate, because the specified investment business definition does not care whether the owner is a corporation.
- What incorporation does buy is limited liability on a site the public walks around, a clean vehicle for borrowing and for bringing in a partner, and a structure a buyer can purchase shares in rather than assets.
- If the plan is to grow to a staffed multi-site operation, incorporation is also the structure in which the employee test can eventually be met, and that is a reason to do it early rather than a reason to rush it.
- The mechanics are handled end to end: name search and reservation, articles, a share structure that leaves room for a second owner or a family trust later, minute book, and the CRA program accounts opened.
- Where a site has been run personally for years, the transfer of the land and the structures into a corporation is a transaction with real tax consequences and we price and plan it before anything is signed.
- Years of bank deposits are matched back to a rent roll, which on a neglected file means rebuilding who occupied which unit in which month from gate records, lease files and whatever the previous manager wrote down.
- Contractor invoices for paving, fencing, door replacement and climate-plant work are pulled out of the general expense accounts they were buried in and put into the capital classes they belonged in all along.
- Unclaimed input tax credits are identified across the open periods and recovered where the documents still support them, which on a site that has had any construction done is usually the largest single number in the exercise.
- Owner drawings, personal spending run through the business account and cash rent that never reached the bank are separated out and treated properly, because that is where a reassessment on a storage file normally begins.
- The output is a set of books a CPA will sign statements from and a starting trial balance you can actually run the business on, not a reconciled bank feed with the hard questions left open.
- Where a shareholder of the Canadian corporation is a United States person, or a United States entity sits above the site, the structure creates filing obligations on both sides that are far easier to set up correctly than to unwind.
- Where you hold storage property in the United States, the rental income and the eventual disposition are reportable there as well as here, and the interaction between the two systems is the whole of the work.
- Foreign property you own outside Canada above the reporting threshold is disclosed on Form T1135, and a storage site held personally in a border state is exactly the sort of holding that gets missed.
- Withholding on rent paid to a non-resident owner of Canadian real property is a separate obligation from the owner’s own return, and the party who fails to withhold is the party the Agency pursues for it.
- If none of this applies to you, we will say so at the consultation and the engagement will not carry a cross-border fee, because most Ontario storage operators have no cross-border exposure at all.
- Storage rent collected for years with no HST charged on it is the single most common disclosure we see on this kind of file, and it is also the one where the credits on the site often take a serious bite out of the liability.
- A small business deduction claimed by a corporation that was a specified investment business throughout is a second, quieter version of the same problem, and it compounds quietly across every year it was claimed.
- Form RC199 is the application, and relief is available where you came forward before being contacted, disclosed the whole picture and are more than twelve months behind, with penalties relieved on acceptance.
- Penalties and interest that grew out of circumstances you could not control are a different application altogether, made under Form RC4288 for taxpayer relief, and the two are not alternatives to one another.
- The reconstruction is the real work on a storage file, because the disclosure has to be complete and complete here means rebuilding both the rent that should have been taxed and the credits never claimed against it.
Storage Facility HST & Active Business Check
Six questions on whether you know where you sit against the registration threshold, whether the tax on your site costs is recorded for recovery, whether your full-time employee count is known, what services your site supplies, how your assets are classed, and how your income is characterised. No fee shown.
1. Do you know whether your taxable storage revenue has passed the $30,000 small-supplier threshold over four consecutive calendar quarters?
2. Is the HST you pay on site costs recorded so every recoverable credit is identified before the return is filed?
3. Do you know how many full-time employees the business had throughout the year?
4. Have you written down which services your site supplies to tenants beyond the space itself?
5. Are your buildings, fencing, paved aisles and containers recorded in separate capital cost allowance classes?
6. Do you know whether your site’s income is being treated as active business income or as income from property?

Case Studies: Storage Facility Accounting & Tax
Kirkland Lake Self-Storage Site — Rent Treated as Though It Were Exempt
The problem: The owner had been told by a previous adviser that rent from a storage site was like rent from a house and carried no tax, so no HST had been charged in six years of operation and the corporation had never registered. The site had been built in that period: a slab, four corrugated-metal buildings, a perimeter fence, a paved aisle and a gate with cameras. The tax paid on all of it had been capitalised into the cost of the site and written off against nothing.
What we did: We established the supply as taxable, registered the corporation, quantified the uncharged tax across the open periods, and worked out what could still be recovered under section 169 on the construction and the running costs against what had been lost to the passage of time. The uncharged tax and the recoverable credits were computed together rather than separately, and the whole position went forward on Form RC199 before the Agency made contact.
The result:
- Six years of storage rent correctly characterised as a taxable supply
- Credits on the build-out and the running costs claimed where documents survived
- Disclosure filed on Form RC199 ahead of any Agency contact
Dunnville Storage Corporation — A Small Business Deduction It Never Had
The problem: A corporation operating two storage sites with an owner, a manager and a weekend relief attendant had claimed the small business deduction on every return since incorporation. The reasoning it had been given was that storage is a business rather than a passive holding, so the income must be active. Nobody had read subsection 125(7) against the facts, and nobody had counted the employees.
What we did: We set out the chain in order: the principal purpose of the operation is to earn income from property, the carve-out in the definition reaches only leasing of property other than real or immovable property, and three staff do not clear a test that asks for more than five full-time employees. The deduction was not available and had not been for any of the years claimed. We corrected the returns, and separately modelled what a staffed third site would have to look like for the answer to change.
The result:
- The specified investment business position settled against the actual head count
- Returns corrected before the Agency reached the same conclusion first
- The employee test modelled against a planned third site
Carleton Place Storage Yard — The Whole Site in One Class at 4%
The problem: An outdoor and recreational-vehicle storage yard had been built over two phases and every dollar of it sat in Class 1. The corrugated-metal buildings, the perimeter fencing, the paved drive aisles and a dozen prefabricated containers were a single line in the capital cost allowance schedule, claimed at 4%, and the owner had assumed for years that a building is a building.
What we did: We went through what had actually been built, with the contractor invoices and a site walk, and separated the assets on the basis the Regulations use: what the structures are made of and how they sit on the ground, what is surface construction, and what is neither. The schedule was rebuilt from the original invoices and the undepreciated capital cost restated class by class, so that the next disposal would produce a recapture or terminal loss out of the right pool.
The result:
- One undifferentiated building pool separated into the classes it belonged in
- Capital cost allowance schedule rebuilt from the original contractor invoices
- Undepreciated capital cost restated class by class ahead of the next disposal
Our clear, efficient process ensures every step is transparent, building trust and long-term client relationships.

Storage Facility Accounting & Tax Done Right.
Storage rent treated as what it is, a taxable supply of real property, with 13% charged in Ontario and registration tested against the $30,000 threshold over four consecutive calendar quarters. The tax on the slab, the buildings, the paving, the fencing, the gate, the cameras and the climate plant recovered under section 169 instead of absorbed into what the site cost. Capital cost allowance claimed class by class rather than as one building at 4%, with undepreciated capital cost tracked under subsection 13(21) so a disposal comes out of the right pool. The subsection 125(7) question answered honestly: a specified investment business with no small business deduction unless the corporation employs more than five full-time employees throughout the year. Interest under paragraph 20(1)(c), owner wages tested under section 67, records kept the six years section 230 requires, and payroll remittances made against the PD7A account. AFFORDABLE fixed fees quoted up front. Registered CPA firm in Ontario. 1300+ five-star reviews. 30-Day Money-Back Guarantee.
