1. What This Bookkeeping Template Does

This is a simple, practical Excel workbook for keeping your business books in order without accounting software. You enter each sale and expense on one sheet, and the rest of the workbook does the maths: it sorts your income and expenses by month, calculates your profit, and tracks the HST you have collected against the HST you have paid.

It is built for the owner who wants clean books they actually understand, not a complicated system. Everything you type goes in clearly marked blue cells. Every total is a formula that updates the moment you enter a row, so you always know where the business stands.

The colour rule keeps it simple. Type only in the blue cells. Black cells are formulas that calculate for you, and you never overwrite them. That one rule is the whole system; follow it and the workbook keeps itself accurate.

3. How to Use It, Step by Step

You can be up and running in a few minutes. Here is the order of operations.

How do I start using it?
Open the workbook, read the Start Here sheet, delete the five sample rows on the Transactions sheet, and begin entering your own transactions in the blue cells. The summary and HST sheets update automatically as you type.
Which cells do I type in?
Only the blue cells, which are all on the Transactions sheet plus the yellow year cell on each summary. Black cells are formulas that calculate for you. The colour rule keeps the workbook accurate, so never overwrite a black cell.
Does it calculate my profit automatically?
Yes. The Monthly Summary sheet shows income, expenses and net profit by month, plus a full-year breakdown of expenses by category. It all calculates from your Transactions entries with no input from you.
Does it track HST?
Yes. The HST Tracker shows HST collected on sales against HST paid on expenses, by quarter, with a net position and year total. It helps you see what you may owe or be refunded before you file, as long as you record HST in its own column.
Why do I keep the amount and HST in separate columns?
So your profit and your HST are both accurate. The pre-tax amount drives your income and expense totals; the HST drives the tracker. Lumping them together distorts your profit and makes your HST filing harder. Keep them apart.
Can I add or change the categories?
Yes. The Categories sheet holds the income and expense lists that feed the drop-downs. Edit them to match your business, and the drop-downs on the Transactions sheet update to match. Stay consistent so your summary stays meaningful.
How many transactions can it hold?
The Transactions sheet comes with several hundred pre-formatted rows, which is plenty for most small businesses for a year. If you need more, you can extend the sheet, and at higher transaction volumes accounting software starts to make sense.
Can I use it for more than one year?
Yes. Each summary sheet has a year cell you change to roll the reports forward. Many owners keep a separate copy of the workbook per fiscal year, which keeps each year's records clean and self-contained.
Is bookkeeping legally required for my corporation?
Yes. Canadian businesses must keep adequate books and records and retain them for at least six years from the end of the tax year they relate to. This template helps you meet that obligation in an organized way.
Will clean books really lower my accounting fees?
Yes. When your books are current and accurate, your year-end and corporate return are faster to prepare, which keeps the cost down. When the books are a backlog, they must be rebuilt first, which adds time and fee. Good bookkeeping pays for itself.
What if I have already fallen behind?

Should I keep my receipts as well?
Yes, always. The template records the transactions, but you must keep the receipts and invoices behind them. On a CRA review, an entry without a supporting document can be denied. Store your receipts, digital or paper, alongside the workbook.
Can I use it if I am not HST registered?
Yes. If you are not registered, simply leave the HST column blank and the tracker stays at zero. The income, expense and profit summaries work exactly the same. When you cross the registration threshold, the HST tracking is ready for you.
Does it work for a sole proprietor too?
Yes. Although we serve incorporated businesses, the template works for any small business that needs to track income, expenses and HST. The bookkeeping fundamentals are the same whether you are incorporated or a sole proprietor.
Will you file my taxes from this template?
We can. Send us the completed workbook at year-end and we prepare your financial statements and corporate return from it, on a fixed flat fee. Clean books in this format make that work efficient and affordable.
Can the template handle payroll?
It is not a payroll system. You can record wages paid as an expense, but source deductions, T4s and remittances have their own rules and deadlines. We handle payroll as a separate service when you need it.
How often should I update the books?
Weekly is ideal. A few minutes each week keeps the workbook current, your HST visible and your year-end painless. The worst approach is leaving everything to the last minute, which is how books fall apart and deductions get lost.
Does it reconcile to my bank account?
Not automatically. You should compare your recorded transactions to your bank statements regularly to make sure nothing is missing or double-counted. The template gives you the ledger; reconciling it to the bank is a habit worth keeping.
Can two people use the same workbook?
You can share the file, but only one person should edit it at a time to avoid overwriting each other's entries. For multi-user, real-time bookkeeping, cloud accounting software is the better fit, and we can help you set it up.
Will my email be kept private?
Yes. We use your email to send the template and occasional relevant updates. We do not sell or share it, and you can unsubscribe any time. You are also welcome to reach out directly with any question about your business.
What is the GIFI and does this template produce it?
The GIFI is the standardized format the CRA uses to capture your financial statement figures on the T2. This template does not produce the GIFI directly, but its clean income and expense totals are exactly what a CPA needs to prepare it for your return.
Can I use it on a Mac?
Yes. The workbook opens in Excel for Mac and works the same way. It also opens in Google Sheets and LibreOffice, though for the drop-downs and formulas to behave exactly as designed, Excel is recommended.
Does the template separate income and expenses for me?
Yes. You tag each row as Income or Expense from the drop-down, and the summary sorts them automatically into totals, profit and the category breakdown. You do not have to build any reports yourself; the tagging does it.
What if I make a mistake in a row?
Just correct the blue cell and every total updates instantly. Because the summaries are formulas, fixing an entry fixes the reports automatically. There is nothing to recalculate by hand.
Is this enough on its own for my corporate taxes?
It is an excellent foundation, but the corporate return, financial statements and HST filing should be prepared by a CPA from these books. The template keeps the records the CPA needs; the filing is the professional step on top of it.
