Multi-Tenant Rental Income Specialists

Tax Accountant for Student Rental Owners in Ontario and Across Canada

Five bedrooms, five leases, five tenants who all leave in April and are replaced in September, and a bundle of things you supply that a condo landlord does not. Heat, light, parking and laundry facilities are basic services, and supplying only those keeps you on the property side of the line, reporting on Form T776 at lines 12599 and 12600. Start cleaning the common areas every week, or putting on security, or including meals, and part of what you earn stops being rent: that portion is self-employment income and belongs on Form T2125. One house, two forms, and the test is the number and type of services rather than the number of tenants. Then the apportionment, because only the rented part of the building is deductible and the split has to be defensible on square metres or on the number of rooms. Then the quiet relief that nobody tells these owners about: letting room by room does not cost you the GST/HST exemption, and neither does billing weekly, so long as the same individual has continuous use of the same room for a month or more — with AFFORDABLE flat fees.

AFFORDABLE Student Rental Tax Accountant

The question on this file is not how much rent came in. It is what kind of income that rent actually is. A condo let on one lease to one household is about as plain as property income gets. A house let room by room, where you also pay for the internet and somebody runs a vacuum over the hallway on a Sunday, sits close to a line the Income Tax Act draws between income from property and income from a business — and which side of that line you are on decides which form the money goes on, not merely how it gets described in conversation.

The owners we act for are rarely institutions. A family that bought a semi near a campus so one child could live in it and four others could pay for it. A couple with two furnished houses in a college town, let by the room on twelve-month leases that nobody renews. An owner who took on a tired triplex and now has the kitchens cleaned weekly because the alternative was a complaint every Monday. A parent whose name is on title while the student collects the rent. What these owners have in common is not scale. It is that nobody has ever asked them which of the services supplied were basic ones and which were not.

You let the rooms. We will settle the characterisation, split the building on a basis that holds, and file the forms the answer actually calls for.

Accounting That Understands How a Student Rental Actually Works

Almost nothing else on a landlord’s return turns on a judgement call made this early. Most rental files start with the rent and work down the expense lines. Yours starts a step further back, with a question about what you supply to the people living in the house, because the answer to that decides whether the year needs one statement or two before a single deduction is even considered.

📝

Basic Services or Additional Services

Heat, light, parking and laundry facilities are the basic services, and an operation supplying only those earns income from property, reported on Form T776. Cleaning, security and meals point the other way, and the more services you supply the greater the chance the operation is a business.

📑

One House, Possibly Two Returns

Where part of what the tenants pay is for additional services, that part is self-employment income and goes on Form T2125, while the rent for the rooms stays on the T776. One property, two statements, and most owners in this position have only ever filed one of them.

📐

Only the Rented Part Is Deductible

Let only part of a building and only that part’s expenses are deductible. A split on square metres or on a count of rooms is acceptable to CRA if it is reasonable, which means measured and recorded rather than estimated in April.

🔒

Per-Room Letting Keeps the Exemption

Letting room by room does not make the rent taxable. The test looks for a month or longer of unbroken occupancy, or a right to it, by the same individual, and billing daily, weekly or monthly leaves that untouched.

Stay Compliant and Minimize Your Student Rental Tax

Keeping this file clean and keeping the tax down are the same job here, because every figure worth having rests on a characterisation decision and an apportionment basis, and both of those are cheap to establish now and expensive to reconstruct later. A split measured in September costs an afternoon with a tape measure. The same split argued three years afterwards costs a great deal more, and sometimes it cannot honestly be done at all.

📋

What the Services Test Actually Asks

CRA’s test is the number and type of services you supply to the people living in the house, not the number of leases you signed. Heat, light, parking and laundry facilities are the basic ones, and an operation supplying only those earns income from property, reported on Form T776. Cleaning, security and meals push the other way, toward a business, and the principle CRA states is a sliding one: the more services you supply, the greater the chance the operation is a business rather than a holding of property. For the genuinely borderline case CRA points to Interpretation Bulletin IT-434, and the rental guide T4036 sends you to Guide T4002 once the operation is a business. The consequence most owners have never been told is that the answer does not have to be all one thing. Where part of what the tenants pay is for additional services, that part is self-employment income and is reported on Form T2125, while the rent for the rooms stays on the T776 — one property carrying two statements. We settle which side each component of your charge falls on, and we do it before the year ends rather than after somebody writes to ask.

🏠

What CRA Asks of an Owner Letting Rooms

The rent is reported on Form T776, the Statement of Real Estate Rentals: line 12599 takes the gross, line 12600 the net. Where the building is only partly let, deductions are confined to the let part, and CRA will accept a split made on square metres or on a count of rooms so long as the result is reasonable; four rooms let out of six is a different sum from a whole house let. Capital cost allowance is available inside a limit. Regulation 1100(11) will not allow it to produce or deepen a rental loss, the limit bites on the aggregate of your rental properties rather than class by class, and the claim may be set anywhere between nothing and the ceiling, so a thin year can be left alone entirely. The record-keeping obligation is six years, running from the end of whichever year the material relates to, under section 230 of the Income Tax Act. Where a year went entirely unfiled, subsection 152(7) entitles the Canada Revenue Agency to assess on whatever it already has — a fact of the statute, stated as one. Instalments arrive quietly too: an obligation to pay in advance appears once net tax owing tops $3,000 in the current year and also in one of the two years before it, with payments falling due 15 March, 15 June, 15 September and 15 December.

🗃

What Closes the Year on a Let House

A student rental year closes with a short and specific set of things on the file. A ledger with one line per room per month, so that a bedroom empty from May to August reads as four vacant months instead of vanishing into a smaller annual total. The lease file, complete, because the occupancy question and the exemption question are both answered from the leases and not from the bank. The written apportionment basis and the measurements behind it — the floor areas or the room count, recorded once, applied consistently, and capable of being handed to somebody else without a commentary. Repair invoices separated from improvement invoices at the point of entry, because the two are treated very differently and nobody can reliably sort them apart two years later from a card statement. The service schedule: what you actually supplied and what you charged for it, which is the evidence standing behind the characterisation. The asset register with the undepreciated capital cost carried forward on each class. And the capital cost allowance decision taken deliberately, as a decision, with the amount claimed recorded next to the reason for it rather than defaulted into by software.

Why Choose Our Accounting Services for Student Rental Owners?

1
🎯

Tax Planning — Decide the Form Before the Year Ends

Whether part of your income belongs on a business statement has a cheap answer in October and an expensive one in April. We settle the characterisation while you can still change what you supply, and plan from the answer rather than around it.

2
🏢

Consulting — Services In or Services Out

Weekly cleaning may be worth more in tenants who stay than it costs in complexity, or it may not. We price your operation both ways, services bundled and services dropped, so the choice is made knowing what each version does to the filing.

3
🛡

CRA Representation — A Rental Loss Under Review

Repeated losses on a let house attract questions, and the answer is the lease file, the apportionment working and the capital cost allowance history. Those are assembled in full before a word of a reply goes out.

4
📝

Bookkeeping — One Ledger Line Per Room

A deposit is not a unit of account here, and neither is a calendar month. The unit is the room: one line for each room in each month, so a vacant July, a tenant who left owing and a September rent increase all show up.

Student Rental Tax and Accounting Services in Ontario

📄

Personal & Self-Employed Tax Filing for Student Rental Owners

Your T776 prepared at lines 12599 and 12600, with a T2125 beside it where part of what you charge is for additional services.

💳

Bookkeeping & Accounting for Student Rental Owners

One ledger line per room per month rather than one per deposit, so vacancies, arrears and a mid-year rent change stay visible.

💵

Payroll Services for Student Rental Owners

Most student landlords employ nobody and need none of this. If you do keep a caretaker on wages, the account and the remittances are handled here.

🧾

GST/HST Filing for Student Rental Owners

Residential rent on a long-term let is exempt, so for most student houses no tax arises on the rent at all. We confirm that in writing and explain why.

📈

Tax Planning for Student Rental Owners

The characterisation, the apportionment basis and the capital cost allowance decision settled before a year closes rather than explained after it.

⏳

Catch-Up Tax Filing for Student Rental Owners

Overdue years reconstructed from the leases and the bank history, with Form RC4288 asking that penalties and interest be cancelled.

🛡

CRA Review Representation for Student Rental Owners

A question about a rental loss or an expense split answered with the leases, the measurements and the working, assembled before any reply.

📊

CPA Compilation Report for Student Rental Owners

Rarely asked for on a file like this. If a bank does insist on statements, the compilation engagement report is prepared and its limits stated.

🏢

Incorporation Review for Student Rental Owners

Usually the wrong lever. A corporation holding rentals is taxed on that profit as investment income, so the rate most owners picture is not available.

📒

Catch-Up Bookkeeping Services for Student Rental Owners

Years of room rents, deposits and shared costs rebuilt room by room until one ledger can carry the whole return.

🌐

US Corporation & LLC Tax Filing for Student Rental Owners

Almost no owner of an Ontario student house has anything across the border. A genuine US entity is scoped as work of its own.

📜

Voluntary Disclosure Program for Student Rental Owners

Unreported room rent taken forward on Form RC199 while the voluntary route is still open to the years in question.

Accounting & Tax Services Tailored for Student Rental Owners

Twelve services, written for the owner of a house let room by room in an Ontario university or college town, who supplies rather more than heat and light and has never been told what that does to the return.

  • Your rent for the year lands on Form T776, the Statement of Real Estate Rentals, where line 12599 takes the gross and line 12600 the net, and each property you own gets a statement of its own.
  • Where part of what the tenants pay is for additional services rather than for the room itself, that portion is self-employment income and is reported on Form T2125 beside the T776 rather than folded quietly into it.
  • Where the building is only partly let, the expense side is confined to the rented part, and the basis for that split is written into the file so that the identical figure can be applied again next year.
  • Instalments get considered rather than discovered, because an obligation to pay in advance appears once net tax owing tops $3,000 in the current year and also in one of the two years preceding it.
  • Everything the return was built from stays on file for six years, counted from the close of the year concerned, which is the retention period section 230 of the Income Tax Act imposes.
  • Every room takes its own line for every month, so a bedroom standing empty from May until August reads as four vacant months rather than disappearing into a smaller annual total that nobody can later explain.
  • What the tenants pay for the room is posted away from what they pay for anything else, because the characterisation question turns on exactly that distinction and it cannot be rebuilt out of one lump figure.
  • Shared costs are allocated on the recorded apportionment basis as they arise, rather than apportioned in a single sweep at year end when the measurements are no longer to hand and the reasoning has gone.
  • Repair invoices and improvement invoices are separated at the point of entry, since a patched section of roof and a whole new roof are treated very differently and sorting them apart afterwards is guesswork.
  • Where you already keep records in QuickBooks Online, Xero or Wave we work inside them, pull the receipts through Dext or Hubdoc, and tie Landlord Studio or TenantCloud back to the ledger if you run one.
  • Most owners of a student house employ nobody at all, and this page will not pretend otherwise. If that is you, we will say outright that the line can be left off your engagement.
  • You can run the test yourself in rough terms: fixed hours, your direction, your materials and a wage you decide upon is the shape that usually calls for a payroll account instead of an invoice.
  • If you do get there, we open the account, line the remittance dates up against your own pay dates, and prepare the February information return when it falls due rather than when somebody notices.
  • A contractor who cuts the grass at several houses on his own schedule and sends you a bill for it is a different arrangement entirely, and we deal with it off this page rather than guessing here.
  • Either way, the payroll paperwork and the proof of remittance sit with the rest of your six-year material, so a request from the Agency is met with one folder instead of a hunt.
  • Long-term residential rent is an exempt supply under Part I of Schedule V. You charge no tax on the rent, no registration obligation arises out of it, and there are no input tax credits against those costs.
  • The exemption survives letting room by room. What counts is that the same individual has, or has a right to, uninterrupted occupation of a month or longer, which an ordinary student lease clears easily.
  • How often you bill is beside the point. Daily, weekly or monthly collection leaves the exempt status alone, provided the same individual keeps unbroken use of that same room for at least a month.
  • Rent of $20 a day or less is exempt regardless of the period, which answers the short and inexpensive arrangements that occasionally sit alongside the main leases in a house let to students.
  • Where something genuinely shorter does arise, that is accommodation on an altogether different footing, and it is handled on our accountant for Airbnb hosts page rather than quietly assumed into this one.
  • Planning on this file is a characterisation exercise before it is a deduction exercise. What you supply to the tenants decides which forms the year will need, and that is a decision you can still influence in autumn.
  • We price the operation both ways, with the services bundled into the rent and with them dropped or charged separately, so the choice gets made against what each version costs you in tax and in work.
  • The apportionment basis is settled and measured once, on floor area or on a room count, because a basis chosen deliberately and applied consistently is worth a great deal more than a flattering one chosen each April.
  • Capital cost allowance is treated as a decision with consequences rather than as a box. Regulation 1100(11) bars it from producing a rental loss, and the claim may sit anywhere between nothing and the ceiling.
  • Before a claim reaches the return it is weighed against section 67, which allows only what is reasonable in the circumstances, and that is a better moment for the conversation than after a query letter.
  • Oldest open year first, then forward from there. Interest attaches to each year from its own due date, and a rebuild done out of sequence usually has to be unpicked and started again.
  • The leases are the backbone of a rebuild. A signed twelve-month lease for a named room at a stated rent evidences a year of income far better than round e-transfers from four people in a bank statement.
  • Where rooms were let without paper, the rent is reconstructed from the deposits and reported regardless, with the basis of the estimate written down and left on the file instead of carried in somebody’s head.
  • Where the lateness had a cause you did not control, the request to cancel penalties and interest is made on Form RC4288, submitted beside the returns rather than buried somewhere inside them.
  • If a year produced no return at all, the Voluntary Disclosures Program is normally the right door instead, and we decide between the two routes before a single page is sent anywhere.
  • A question about a let house is answered with the lease file, the room-by-room ledger, the apportionment working and the capital cost allowance history, gathered into one bundle before a reply is drafted.
  • Where repeated rental losses are the issue, the first thing to establish is whether capital cost allowance created them, because Regulation 1100(11) does not permit that and the fix is arithmetic rather than argument.
  • Where the expense split is the issue, the answer is the measurement: the floor areas or the room count, the basis chosen, and the years it was applied in without being changed to suit a result.
  • Where a year went entirely unfiled, the Agency may assess under subsection 152(7) on whatever it already has, and the cure for a figure produced that way is a properly prepared return.
  • If the assessment is wrong on the merits, a notice of objection follows, lodged inside the time limit the Act allows and supported by material that existed long before any letter was sent.
  • Most owners of a student rental never need this at all. It remains listed because now and then a lender wants accountant-prepared statements from a private individual rather than a copy of a tax return.
  • If one does, the compilation engagement report is prepared from your ledger, setting rent by room, operating costs, interest and the allowance position out on a single page a third party can read.
  • What a compilation says about itself matters as much as the figures on it: nothing was audited and nothing was reviewed, and we make that limitation clear to whoever asked for the statements.
  • Where the reader would in fact be satisfied by your return and the notice of assessment that followed it, we will point that out, because it costs you less and carries rather more weight.
  • We will not dress a house up as something it was not. Either the numbers come out of the ledger that supports your filed return, or we decline the engagement and say so plainly.
  • For most owners of a student rental, incorporating is the wrong lever, and the reason is structural rather than a matter of degree: the corporate rate most people are picturing was never available to this income.
  • Rental profit earned inside a corporation normally falls within the subsection 125(7) description of a business whose principal purpose is to earn income from property, and it is taxed as investment income.
  • The structure question across a growing portfolio belongs to the general rental page, and we would rather send you to our accountant for rental property owners page than half answer it in a card here.
  • There is a narrow exception turning on the number of full-time employees the business has throughout the year, and whether you are anywhere near it is a question of fact we answer on the file.
  • So the honest answer on this page is a short one. We will tell you what your own numbers do inside a corporation and what they do outside one, and most of the time the advice is to leave it.
  • Years of room rents, cash, e-transfers and the occasional cheque are matched back to named rooms and named tenancies, oldest first, until the bank record and the lease file finally agree with each other.
  • Deposits held as last month’s rent are kept apart from rent that has been earned, because the two are different things on a ledger and running them together overstates one year and understates another.
  • Capital items posted as expenses are lifted back out and entered where they belong, since a replaced furnace is not a repair and the asset register is the only place that distinction survives a decade.
  • Shared costs claimed in full for the whole building are brought back to the rented portion on the recorded basis, and the years that were overstated are identified rather than quietly left as they were.
  • Where you keep records in Buildium or a similar system, its deposits are reconciled to the rebuilt ledger, because the rebuild only finishes when one ledger can support the return and any review question.
  • Hardly any owner of an Ontario student house needs this. It is listed because a handful of readers really do hold a United States entity, and a plain answer beats an awkward silence.
  • If you hold no United States company and nothing across the border, skip it. Letting rooms in a Canadian house to Canadian students creates no United States filing obligation whatever out of this page.
  • A United States corporation or limited liability company that you actually hold brings its own filings, and the Canadian treatment of anything it pays you is separate work carrying its own quote.
  • Where a student living in one of your rooms happens to be a United States citizen, that is their filing question rather than yours, and we say so plainly instead of letting it onto your file.
  • Where the answer depends on United States federal law, or on the law of one particular state, that is a United States question, and we will not pronounce on the statute law of another country.
  • Contact from the Canada Revenue Agency about a year shuts the voluntary door for that year, and nothing filed later prises it open; a disclosure arriving in time is carried by the agreement on Form RC199.
  • Cash rent for a room that never found its way onto a return is the usual trigger, and the disclosure has to take in every year it touched, not merely those that are easy to reconstruct.
  • The submission is built on a rebuilt ledger and a complete lease file, because a disclosure stating a figure without showing its derivation simply invites the obvious follow-up question straight away.
  • Penalties go and so does part of the interest, but the tax itself stands, so after four years of unreported room rent the question that matters is how large that tax is and how it will be funded.
  • Where a house was let for years while the owner believed that a family arrangement needed no reporting, the belief does not alter the obligation, and arriving first is still worth a very great deal.

Student Rental Income & Services Check

Six questions on whether the rooms can be listed, whether the services you supply have been classified, whether the expense claim is confined to the let part of the building, and whether any of the income belongs on a business return. No fee shown.

1. Could you set out every room you let last year and what each one brought in?

2. Do you know which of the services you supply count as basic and which count as additional?

3. Are the expenses you claim limited to the part of the property actually rented?

4. Is each tenancy recorded separately rather than as one monthly lump of rent?

5. Have you tested whether any part of your income belongs on a business return instead?

6. Are your repair invoices kept separately from your improvement invoices?

Case Studies: Student Rental Accounting & Tax

Thorold — Weekly Cleaning That Moved Part of the Income

The problem: A five-bedroom house near Brock, let room by room on separate leases, with the internet included and the kitchen and bathrooms cleaned every week by somebody the owner paid. All of it had been reported as rent on a single T776, and the expense claim covered the whole building although the owner’s own family used the finished basement.

What we did: We separated the charge for the rooms from the charge for the additional services, moved the serviced portion onto Form T2125 as self-employment income, and rebuilt the apportionment on measured floor area rather than the round fraction nobody could source.

The result:

  • Part of the income reported on a T2125 for the first time
  • The apportionment rebuilt on measured floor area
  • The basis written into the file for the years that follow

Lindsay — A Whole Building Claimed on a Partly Let House

The problem: A rental near Fleming College where every expense for the whole house had been claimed in full, although the owner occupied the ground floor and let four rooms above it. Nothing had been apportioned at all, and there was no record anywhere of how the figures on the return had been arrived at.

What we did: We brought the claim back to the rented part on a room count, which this layout supported better than a floor-area estimate across a shared interior, documented the basis, and restated the prior year on Form T1-ADJ rather than waiting to be asked about it.

The result:

  • Expenses confined to the four let rooms
  • A room count adopted as the documented basis
  • The prior year restated before any review began

Perth — Four Years of Losses the Allowance Had Created

The problem: An owner near the Algonquin campus had claimed capital cost allowance on the building every year, and in four of those years the claim had taken the rental result below zero. The losses had been used against other income, and nobody had mentioned that the allowance cannot do that.

What we did: We recomputed each year with Regulation 1100(11) applied, so that no rental loss was created or increased, tested the restriction in aggregate across the properties instead of class by class, and reset the claim as a deliberate decision taken annually.

The result:

  • Regulation 1100(11) applied across four years
  • The restriction tested in aggregate, not class by class
  • The allowance decision reset and recorded each year

Our Simple Process

How We Work With Student Rental Owners

Know Exact Fees within 2 Minutes NOW

Our clear, efficient process ensures every step is transparent, building trust and long-term client relationships.

The shape of the engagement:
Step 1

Kickoff (Document Request)

What we ask for first: every lease for the years in question, a list of the rooms and what each was let for, the floor plan or the measurements, the mortgage and property tax statements, the invoices for anything done to the building, and last year’s return if one was filed.

Step 2

First 30 Days (The Ledger Built)

Each room entered month by month, deposits matched to named tenancies, money held as last month’s rent kept apart from rent earned, the services you supply listed against what you charged for them, and the apportionment basis measured and written down.

Step 3

The Annual Cycle

Rent posted as it arrives rather than reconstructed afterwards, shared costs allocated on the recorded basis as they fall, repairs kept apart from improvements, and the return prepared from the ledger in the spring.

Step 4

Review Points

The service schedule revisited whenever you change what you supply, the apportionment checked when the use of a room changes, and the capital cost allowance position looked at before it is claimed rather than after.

Step 5

Year-End and Beyond

The forms the year actually needs settled, the allowance decision taken and recorded with its reason, the six-year record file closed off, and the apportionment basis carried forward so the next year starts from a settled figure.

Serving Student Rental Owners Across Ontario

A house let by the room works the same way in Kingston as it does in Waterloo, and so does the question this page exists for: what do you supply beyond the room itself, and can you show which part of the building the money relates to. Owners come to us from all over the Greater Toronto Area — Toronto, Etobicoke, North York, Brampton, Scarborough, Markham and Oakville — and from the university and college towns besides: Waterloo, Guelph, Hamilton, St. Catharines, Kingston, Peterborough, London, Oshawa, Ottawa and Windsor. The work does not change whether you hold one house or six.

Student Rental Accounting & Tax FAQs

How do I report student rental income?
Form T776, the Statement of Real Estate Rentals, carries it, filed with your personal return: gross rent at line 12599, net at line 12600, and one statement for each property you own. Whatever is left after the deductions is taxed with the rest of your income at your own marginal rate, and the top combined Ontario rate is 53.53%. The figure at the top of the form matters where the house is jointly held. Co-owners fill in the co-owner part of the T776 and enter the whole property’s gross rent at line 12599 instead of pre-dividing it by share; the share is brought in lower down the statement. And where part of what your tenants pay is for services rather than for the room, that part is not rent at all: the next answer explains where it goes instead.
Is renting rooms to students business income or property income?
It turns on the number and type of services you supply, not on the number of leases or the number of tenants. Supplying basic services only — heat, light, parking and laundry facilities — is income from property, reported on Form T776. Additional services such as cleaning, security and meals point toward a business, and CRA states the principle as a sliding one: the more services you supply, the greater the chance the operation is a business. For the borderline case CRA points to Interpretation Bulletin IT-434, and the rental guide T4036 directs you to Guide T4002 where the operation is a business. The answer also does not have to be all one thing. Where part of the income comes from additional services, that portion is self-employment income reported on Form T2125, alongside the T776 for the rental part — one house, two statements. If what you want is the ordinary landlord treatment without the services question, that is our accountant for rental property owners page.
Does GST/HST apply to rent from a student house?
Ordinarily not. Long-term residential rent is an exempt supply under Part I of Schedule V, so no tax is charged on the rent, no registration obligation arises out of it, and there are no input tax credits to be had against the cost of earning it. Letting room by room does not disturb that. The test asks two things: that the room is to be used as a place of residence, and that the arrangement gives the same individual occupancy, or a right to occupancy, running for a month or longer. An ordinary student lease clears both comfortably. Billing frequency is beside the point — daily, weekly or monthly makes no difference — provided the same individual keeps uninterrupted use of that same room for at least a month. Rent of $20 a day or less is exempt whatever the period. Below a month you are into accommodation that is taxable instead, which we deal with on our accountant for Airbnb hosts page. Where the services you supply amount to a business, the treatment of that component is settled separately on your own file rather than assumed from this paragraph.
Can I claim CCA on a student rental?
You can, but it is capped, and it ought to be a decision rather than a default. Capital cost allowance cannot be used to produce or deepen a rental loss — that is the effect of Regulation 1100(11) — and the limit bites on the aggregate of your rental properties, not on each class separately. The claim may be set anywhere between nothing and the ceiling, so in a year that would otherwise show a loss it can simply be left unclaimed. Class 1 at 4% covers most buildings of brick, stone or cement acquired after 1987; Class 8 at 20% covers furniture and household appliances. In the year a rental property is acquired the allowance is generally available on one-half of the net additions to the class — the half-year rule — which does not reach accelerated investment incentive property or zero-emission vehicles. Whether to claim at all is worth settling deliberately every year, with the reason written beside the figure.
How do I split expenses when I rent rooms?
Only the let portion of a building carries deductible expenses. CRA will accept a split made on square metres or on a count of rooms, provided the result is reasonable — which in practice means measured, written down, and applied the same way the following year. On a house where you occupy one floor and let the rooms above it, a room count is often easier to defend than a floor-area estimate taken across a shared interior; where the let part is a clearly bounded area, floor area is the better basis. Some costs are not shared at all: a repair confined to a let room is wholly a rental expense, and work on your own part of the house is not a rental expense in any proportion. Mortgage interest is deductible under paragraph 20(1)(c) to the extent the borrowed money was used to earn the rent, and it is apportioned on the same basis as everything else. What matters most is that the basis is chosen once, on the facts, rather than picked afresh each April to suit the result.
Is summer vacancy still deductible?
Generally the cost of a property held for rent remains deductible through a vacancy, because the test in paragraph 18(1)(a) is whether the outlay was made for the purpose of earning income, not whether a tenant happened to be in the room that month. A house let to students empties in April by design, and the mortgage interest, the property tax, the insurance and the heat do not stop in May. What supports the claim is evidence that the rooms were still held out for rent: the advertising, the enquiries, the leases signed for September. Where a room is instead taken out of the market for your own use over the summer, it is not being held for rent in those months and the apportionment has to follow that. Running underneath the whole question is section 67, which permits only an amount that is reasonable in the circumstances.
My parents own the house I rent to students — who reports it?
The rent belongs to whoever owns the property, which is not always the person who collects the money or the person named on the lease. Where legal title and beneficial ownership are the same thing, that is the end of it: the owners report the rent, and if there are several of them they complete the co-owner part of Form T776, where the whole property’s gross rent goes in at line 12599 and the division by share happens below that line rather than above it. Where title and beneficial ownership genuinely differ — a parent on title funding a purchase a child is treated as owning, or the reverse — that has to be established on the facts and on the documents rather than simply asserted, and any trust-related reporting question is confirmed against the rules in force for the year in question rather than from a web page. What does not work is choosing between the two returns according to whose marginal rate is lower.
Can I deduct furniture for a student rental?
Furnishings are capital rather than current, so they are not deducted in full in the year you buy them. Furniture and household appliances are Class 8 at 20%, and so is a tool costing $500 or more; smaller consumables are ordinary expenses. In the year the furniture is acquired the allowance is generally available on one-half of the net additions to the class. Then the cap: Regulation 1100(11) will not let capital cost allowance create or increase a rental loss, measured in aggregate across your rental properties, so a year of heavy furnishing does not convert itself into a deductible loss. Mattresses, desks and a replacement fridge therefore belong in the asset register with their figures and their dates, and the claim is sized afterwards against what the year can actually carry.
How do I handle a last month’s rent deposit?
Carefully, and separately from rent. A deposit held as last month’s rent is money you are holding rather than money you have collected for a month of occupancy, and the obligation that comes with it under Ontario’s residential tenancy rules is to hold it and to account for the interest it earns. The rate that applies is reset annually, so we confirm the current one on your file rather than printing a figure here that would be wrong inside the year. On the tax side, whether a deposit is brought into income when it is received or when it is applied to the final month is a question we settle on the engagement rather than from a page. What we can tell you plainly is what the ledger has to show: the deposit, the date it was received, the interest credited, the month it was eventually applied to, and the amount returned where it was returned. With those five things recorded, the timing question has an answer whichever way it falls.
Do I need to register the rental with the city?
That is a municipal question and it is settled against your own municipality’s by-law, which is why we will not name a rule here. Rental licensing and rooming-house provisions vary from one municipality to the next, and whether a given house is caught is a question of fact about that house in that municipality. Ask the municipality, or ask a lawyer who practises in it. What we can tell you is the part most readers get wrong, which is that the two questions are independent of one another. Whether or not the use is licensed, the rent is income and has to be reported. An unlicensed house does not produce untaxed rent, and a licence does not change which form the income goes on. The by-law question is well worth answering for its own reasons, but it is not the reason the rent is reportable.
What does CRA expect a student landlord to have on file?
Enough that a stranger could reproduce your reported figure without having to believe you about any of it. In practice: the leases, one per room per tenancy; a ledger showing what each room was let for and in which months; the deposits received and what became of them; the invoices behind every expense, with repairs kept apart from improvements; the measurements or the room count behind your apportionment, together with a note of the basis chosen; the mortgage and property tax statements; and the asset register, with the allowance history and the undepreciated capital cost carried forward. The retention obligation runs to six years under section 230 of the Income Tax Act, reckoned from the end of whichever year a record belongs to. Asset records deserve to outlive that, since a fridge entered in year one may still be depreciating in year eight. And if a year never produced a return, subsection 152(7) allows the Agency to assess from what it has in hand.
Should I incorporate my student rentals?
Usually not, and the reason is not a matter of degree. Rental income earned in a corporation is normally a specified investment business for the purposes of subsection 125(7), the definition catching a business whose principal purpose is to earn income from property, so the corporate rate most owners have in mind simply does not reach it, and the profit is taxed as investment income. There is a narrow exception turning on the number of full-time employees the business has throughout the year, and almost no student rental is anywhere near it. Set against that you are taking on a second return, an annual filing obligation, and records that now have to be kept properly, and moving a property into a company carries its own costs that have nothing to do with income tax at all. The structure question across a growing portfolio is dealt with on our accountant for rental property owners page. On this page the honest answer is that the usual reason for incorporating does not apply here.
What does a student rental accountant cost, and how do I start?
Fees here are flat and quoted up front, never billed by the hour. What drives the number is not how many rooms you let but what condition the paperwork is in: leases, a room-by-room ledger and a measured apportionment make for a cheaper engagement than four years of e-transfers and a settled belief that all of it was simply rent. The fee calculator will put a figure in front of you inside a couple of minutes, and there is no charge for the consultation. Bring the leases for your last complete year, a note of what each room was let for, whatever you have on the services you supply and what you charged for them, the mortgage and property tax statements, and the invoices for anything done to the building. Tell us at the start if years are missing, because the sequence in which they get rebuilt bears on the interest and on which relief route still remains available.

Student Rental Accounting & Tax Done Right.

A ledger with one line per room per month, so that a vacant July reads as a vacant July. The services you supply classified before the year closes: heat, light, parking and laundry facilities on the property side, cleaning, security and meals pointing toward a business, and Interpretation Bulletin IT-434 for the genuinely borderline case. Rent on Form T776, gross at line 12599 and net at line 12600, with the serviced portion on Form T2125 where part of what you charge is for additional services rather than for the room. Only the let part of the building deducted, on an apportionment measured by square metres or by room count and written into the file. The GST/HST exemption kept, because continuous occupancy of one month or more by the same individual is what the test asks and the billing cycle is not. Capital cost allowance treated as a decision: Class 1 at 4%, Class 8 at 20%, the half-year rule on net additions, and Regulation 1100(11) stopping it from creating a rental loss. Records kept the six years section 230 asks of them, and subsection 152(7) answered by filing rather than by letter. Years that never reached a return taken forward on Form RC199 while that is still possible, and Form RC4288 doing the work on penalties and interest. AFFORDABLE flat fees, no hourly billing.
