Marketplace Seller Compliance

Tax Accountant for Amazon US Sellers Based in Canada in Ontario and Across Canada

Amazon settles with you on its own cycle and the figure that reaches your bank is not your revenue. It is gross sales less referral fees, fulfilment fees, monthly storage, long-term storage, removal orders, advertising, coupon costs and chargebacks, plus reimbursements for stock Amazon lost, and by the time it clears, all of that has collapsed into one number. A corporate return built on that number reports sales smaller than they were and costs close to nil, and it is the single error we unwind most often on these files. So we start where the money starts. The settlement reports are pulled period by period, gross sales are posted as sales, and every deduction Amazon took is posted as the expense it actually is. The Canadian filings then follow from a ledger that ties back to Amazon’s own record: the T2, the GST/HST position tested against the $30,000 small-supplier threshold measured across four consecutive calendar quarters, and the record-keeping window that section 230 of the Income Tax Act fixes at six years. The United States layer we are straight with you about. State sales tax is decided state by state, a marketplace collecting tax does not answer every state’s registration question, and the answer turns on facts about your inventory and your sales that no web page can know. We assemble those facts and tell you which questions need a practitioner licensed there — with AFFORDABLE flat fees.

AFFORDABLE Amazon Seller Tax Accountant

Two records exist for every sale you make and only one of them is in your bank. The settlement report is Amazon’s own account of what happened: gross sales, refunds, referral fees, fulfilment fees, storage, long-term storage, removal orders, reimbursements, advertising, promotional credits and chargebacks, each on its own line. The deposit is whatever survives all of it. Report the deposit as your sales and you have told the Canada Revenue Agency that you sold less than you did and spent almost nothing doing it, which is a worse account of your business than the true one on both counts. Rebuilding it the other way round is ordinary bookkeeping done carefully, and it is the work that makes every other filing described here possible.

The sellers we act for run from one person shipping a single product line out of a spare room to companies with stock in fulfilment centres in several states and a seven-figure run rate. Size changes how many lines there are to separate and how many states appear in the picture. It does not change the order of work. Reconcile the settlement reports, get the Canadian filings right on figures that tie, then take the United States questions one at a time instead of all at once in a hurry.

You sell the product. We will take the reconciliation, the Canadian filings and the list of questions the United States side genuinely needs answered.

Accounting That Understands How an Amazon US Seller Based in Canada Actually Works

A marketplace business has no sales invoices, no customer ledger and no counterparty to agree a figure with. It has a report, a periodic deposit and a quantity of stock in buildings nobody from your company has ever walked into. Bookkeeping designed for a business that issues invoices cannot tell you what you sold, what selling it cost, or which of those costs were taken out before you were paid.

📦

Eleven Lines, One Transfer

Gross sales, refunds, referral fees, fulfilment fees, storage, long-term storage, removals, reimbursements, advertising, promotional credits and chargebacks arrive netted into a single deposit. Pulling them back apart is the whole job.

🌎

The State Layer Is Not One Question

Sales tax in the United States is run by the individual states, so there is no national threshold and no single answer. Whether your stock in a fulfilment centre also gives the company a taxable presence of its own is a further question again, set out on our cross-border e-commerce sellers page.

🏪

Collected Is Not the Same as Finished

Marketplace facilitator rules move the collection of state sales tax onto Amazon in a great many states. What they leave a seller still required to register or report varies by state, so it is checked per state rather than assumed once.

💳

Documentation Sits Between You and the Money

Amazon asks a non-US entity to complete a tax interview and provide a Form W-8BEN-E, and one completed years ago may no longer be current. We check what Amazon currently holds for your selling entity instead of predicting what it does without one.

Stay Compliant and Minimize Your Amazon Seller Tax

Here, compliance and cost control are one exercise and both of them begin in the settlement report. A fee nobody posted is a deduction nobody claimed, and a gross sales figure nobody separated out is the first thing any review of a marketplace business asks to see. The same reports answer both.

🗃

The Settlement Report Is the Primary Record

Four documents carry a marketplace file and only one of them comes from your bank. The settlement report is the only record showing gross sales before anything was deducted, which makes it the source every figure on your return has to come from. The fee and advertising statements explain the deductions, so a cost taken out before you were paid is still a cost you claimed. The inventory and reimbursement reports account for stock that left the system without being sold — removed, disposed of, lost or damaged — which is otherwise simply missing. The bank record then ties each deposit to the period that produced it. Section 230 of the Income Tax Act sets the retention period at six years, and the real difficulty on these files is availability rather than retention, because reports age out of a seller account well inside that window. Where a year went unfiled, subsection 152(7) is what lets an assessment be built out of the material the Agency happens to have.

✅

CRA Obligations for an Amazon Seller

The Canadian half of this file is the half that can be stated plainly, so here it is. GST/HST registration stops being optional once taxable supplies reach $30,000 inside four consecutive calendar quarters — a count that rolls forward and ignores your fiscal year — and where a supply is made in Ontario the rate is 13%; which of your orders a Canadian rate reaches is a place-of-supply question, and our FBA GST/HST calculator shows where you currently sit against it. The T2 is prepared from reconciled profit, with section 125 bringing the first $500,000 of active business income to a combined Ontario rate of about 12.2% — a band that answers to profit and never to the gross figure on a marketplace dashboard. Where you have staff, a late remittance draws a penalty graduated by the length of the delay under subsection 227(9), reaching 10% rather than sitting at a flat rate, and the Ontario employer health tax only engages once your Ontario payroll is past $1,000,000. Instalments follow the first profitable year and surprise the sellers who grew fastest.

📊

Year-End Deliverables for an Amazon Seller

Two reconciliations decide whether a marketplace year closes quietly. The first runs the settlement reports against the bank: every period posted, every deposit matched to the report that produced it, and any unexplained difference chased while the reports are still downloadable rather than carried forward as a plug. The second runs the sales figure across the filings: the revenue on the corporate return and the revenue on the GST/HST returns have to be the same number arrived at the same way, because a gap between them is visible without anybody going looking for it. Sitting beside those: closing inventory counted from the inventory reports rather than estimated from what you remember shipping in, the currency basis stated and used consistently where settlements are in US dollars, reimbursements and chargebacks separated from sales, and the six-year record bundle under section 230 closed off with the reports inside it and not merely referenced.

Why Choose Our Accounting Services for Amazon US Sellers Based in Canada?

1
🎯

Tax Planning — Reconciliation Before Anything Else

Nothing useful is planned from a net deposit. The settlement reports are reconciled first, so questions about year end, instalments and the small business band rest on profit rather than on a bank balance.

2
👥

Consulting — The State Questions, in Order

Where your inventory has been held, what you sold into each state, what Amazon collected, and what documentation it holds for your entity. Four answers gathered in that order, before anybody registers anywhere.

3
🛡

CRA Representation — Understated Sales, Unclaimed Costs

A marketplace review opens on gross sales, not on deposits. We put the settlement reports, the fee totals and the deposit trail in front of the reviewer so the figures are shown rather than argued.

4
🏢

Bookkeeping — Every Fee in Its Own Account

Referral fees, fulfilment fees, storage, advertising and reimbursements each given their own account from the first period, so profit is a figure you read rather than one somebody derived afterwards.

Accounting & Tax Services Tailored for Amazon US Sellers Based in Canada

Twelve services, written for a Canadian company whose sales are recorded by a marketplace, whose costs are deducted before it is paid, and whose stock sits in another country.

  • The sales figure on the return comes from the settlement reports and not from the bank, because gross sales and the amount Amazon transferred to you are two different numbers and only the first of them is revenue.
  • Every amount Amazon deducted before paying you is posted as the expense it is, so referral and fulfilment fees reduce taxable profit on the return instead of quietly shrinking the sales line and disappearing.
  • Active business income up to $500,000 attracts a combined Ontario rate near 12.2% under section 125 of the Income Tax Act, and that band attaches to reconciled profit rather than to whatever figure a seller dashboard displays.
  • Instalment obligations are tested as soon as a first profitable year is filed, since the seller who grew quickly is reliably the one caught out by them the following spring rather than by the return itself.
  • Everything standing behind the return is held for the retention window section 230 of the Income Tax Act sets at six years, and on a marketplace file that means the downloaded reports and not only the ledger built from them.
  • Each settlement period is posted from the report rather than from the deposit, with gross sales, refunds and every fee on separate lines, which makes the net transfer an output of the bookkeeping instead of an input to it.
  • Referral fees, fulfilment fees, monthly storage, long-term storage and removal order fees get five accounts, because the first two move with sales while the last three are telling you something about stock you should be selling faster.
  • Reimbursements for inventory Amazon lost or damaged are posted clear of sales, since they are not money a customer paid you and burying them in revenue makes the sales figure and the cost figure wrong together.
  • Advertising, coupon costs and promotional credits are tracked apart from fulfilment, because advertising is the cost you control directly and the only one on the report worth reviewing against sales month by month.
  • Where you run QuickBooks Online or Xero we work inside it, with A2X or Link My Books carrying each settlement through at the level of detail the reports actually provide rather than as a summary.
  • Most sellers arrive with no payroll at all and then hire a first warehouse or listings person, and that is the moment a Business Number with an RP payroll account has to exist before anybody is paid anything.
  • Which remitter you are is decided by average monthly withholding and not by how often you choose to run payroll, so we settle that due date in writing before any money leaves the company account.
  • A remittance is measured by the day the Receiver General receives it, and subsection 227(9) of the Income Tax Act grades the penalty by the length of the delay, reaching 10% rather than applying as a flat rate.
  • Where you take money out of the company yourself, salary and dividends are posted and reported as what they are, so the slip issued to you agrees with whatever the corporate return has claimed as a deduction.
  • Ontario employer health tax becomes a live question once Ontario payroll passes $1,000,000, which is distant for most sellers and arrives sooner than expected for the few who scale a team quickly.
  • The $30,000 small-supplier threshold is counted over four consecutive calendar quarters and it rolls forward, which is why a seller with climbing Canadian sales trips it somewhere in the middle of a year rather than at a tidy close.
  • Where a supply is made in Ontario the rate is 13%, and which of your orders that reaches is a place-of-supply question rather than a question about where your stock sits; our Amazon seller GST/HST page works through it.
  • Input tax credits are claimed on what the company genuinely acquired for use in its commercial activity, and each class of marketplace cost is tested on its own facts rather than claimed across the board by habit.
  • Once an account exists the returns go in on the period the Agency assigns, and the sales reported on them are agreed to the sales reported on the corporate return before either document is filed anywhere.
  • Where registration should have happened years ago, the date is settled on what the reconciled figures show rather than on the day somebody noticed, and the outstanding returns are then prepared from that date forward.
  • Planning here is reconciliation first and structure second, because anything built on a marketplace gross sales figure or on a bank deposit has been built on a number that is not profit and never was.
  • Your fiscal year end is chosen deliberately rather than taken by default, since a seller whose stock and sales peak before the fourth quarter has a different natural close from one selling evenly all year.
  • How you take money out is settled once reconciled profit is known, with the first $500,000 of active business income attracting about 12.2% combined Ontario under section 125 of the Income Tax Act.
  • Where a United States structure is being weighed, we say which parts of that decision are ours and which belong to a practitioner licensed there, and we scope the two pieces separately rather than together.
  • Anything we hand you with numbers on it is dated and names the published figures it was built from, since tax rates, registration thresholds and Amazon’s own fee schedule each move on timetables of their own.
  • The earliest open year is prepared ahead of the others, because interest on an unpaid balance has run from that year’s own due date and nothing halts it until the return is filed and the amount settled.
  • Where earlier years were reported from bank deposits, each is rebuilt from the settlement reports instead, which normally lifts reported revenue and lifts deductible marketplace fees by a broadly similar amount.
  • Where the reconciled figures show the $30,000 threshold was crossed in an earlier year, the registration date follows the figures rather than the day somebody noticed, and the missing returns are prepared from there.
  • Where staff were paid and nothing was remitted, subsection 227(9) of the Income Tax Act grades the penalty by how late each payment was and reaches 10%, so the oldest period put right returns the most.
  • With the returns lodged, Form RC4288 then carries the request to cancel penalty and interest, which is worth making wherever the lapse traces back to something nobody at your end chose or could have prevented.
  • A marketplace review opens on gross sales almost every time, because the Agency can see a deposit arriving and wants to know what the figure behind it was before Amazon deducted anything from it.
  • We answer it with the settlement reports themselves, period by period, with fee totals reconciled to the deposits, so the difference between the two is evidenced out of Amazon’s records rather than explained in a letter.
  • Where sales were reported from deposits, the correction raises revenue and raises expenses together, and putting both in front of the reviewer at the same time is what keeps an adjustment off the sales line alone.
  • Requests for inventory and cost figures are answered out of Amazon’s own inventory and fee reports, which a reviewer takes more readily than a spreadsheet nobody present can tie back to a source document.
  • An assessment that is simply wrong is objected to inside the statutory period, and what that objection is built on is your own reconciled settlement data rather than an argument about what the letter assumed.
  • Where a lender, a credit facility or a prospective buyer wants figures, the compilation engagement report presents gross sales, marketplace fees and profit as three separate numbers instead of one netted-down total.
  • Inventory still sitting in fulfilment centres at the period end appears on its own line, counted from the inventory reports rather than estimated from what anybody remembers sending in during the final quarter.
  • Advertising spend is shown clear of fulfilment cost, because that is precisely the split a lender or an acquirer reads these statements to find, and its absence is the first thing either of them asks about.
  • Statements come out of the period close rather than weeks afterwards, so a financing or diligence deadline is met with figures that were reconciled before anybody asked for them rather than during the request.
  • Figures are stated in Canadian dollars with the conversion basis disclosed, since a seller settled in US dollars carries two currencies through one set of statements and a reader will want to know which is which.
  • Where you are moving a selling account onto a company, the Ontario registration, the Business Number and the sales tax account are opened before the selling entity changes rather than scrambled for afterwards.
  • The entity change inside Seller Central is sequenced so that a single settlement period does not end up split between a proprietorship and a corporation with nobody certain afterwards which of them reported it.
  • The opening balance sheet records the inventory and the equipment genuinely transferred in, at figures that can be supported, because every later year is measured from those opening numbers and nothing else.
  • Choosing a first period end and a share structure is done on purpose rather than accepted as whatever the registration happened to produce, because between them those two choices govern every later filing date and planning option.
  • Where an earlier proprietorship held a sales tax number, it is closed off and its final return filed, because an account left open generates demands long after the company has taken over the selling.
  • Settlement reports are downloaded for every missing period and posted in sequence, which is the only route back to a sales figure that Amazon’s own records will support when somebody eventually asks for one.
  • Each deposit is matched to the settlement that produced it, because on a neglected marketplace file the commonest finding is a transfer nobody could explain and which therefore never got posted anywhere.
  • Fees are separated by type across the whole catch-up window rather than lumped into one cost, because that split is what makes the restored years comparable with the years that follow them.
  • Inventory movements, removals and disposals are picked up from the inventory reports, because stock that left the system without ever being sold has to be accounted for somewhere in the rebuilt year.
  • The rebuild is finished when three sources agree: the ledger, the business bank statements and the marketplace reports. That agreement is the precondition for preparing the overdue returns rather than a bonus afterwards.
  • Where your group already has a United States company filing there, both sides are handled as one exercise, so that a figure described one way in Canada is not described differently across the border.
  • What your Canadian company owes in the United States is a United States determination, and we say that rather than reasoning our way toward an answer from a Canadian starting point and calling it advice.
  • Fees you pay to a non-resident who performs services in Canada carry a withholding rule of their own, and our cross-border e-commerce sellers page sets out how that one works.
  • Where a protective United States return is under consideration, it is a decision with a real annual preparation cost on one side and a position held open on the other, scoped with a practitioner licensed there.
  • An owner who files personally on both sides of the border is handled in the same cycle as the company and not in a second pass afterwards, because those two sets of deadlines are weeks apart and the later one gets forgotten.
  • Marketplace income that was never reported is the usual reason a seller comes forward, and a submission made on Form RC199 has to cover every affected year rather than only the ones easiest to rebuild.
  • Where sales were reported from deposits for years, that understated revenue even though it also understated the costs, and it is dealt with as a disclosure rather than quietly corrected in the next return.
  • Sales tax that should have been collected and never was goes in alongside the income tax years, because leaving one tax out of the submission keeps the file open after the other has been settled.
  • Relief is applied for before the Canada Revenue Agency makes contact about those years, and we say so immediately where a letter has already arrived about them, because that closes the route for those periods.
  • What the program does and does not relieve is set out in writing before anything is filed, so the decision to come forward is taken against a figure rather than against a hope that it will work out.

Amazon US Seller State and Documentation Check

Six questions on the settlement reconciliation, where your stock has been held, what documentation Amazon holds for your entity, which United States information return has reached you, and the Canadian registration threshold. No fee shown.

1. Can you produce a reconciliation that separates gross sales from every fee Amazon deducted?

2. Does the revenue on your corporate return come from the settlement reports rather than the bank?

3. Do you know which US states your inventory has been stored in, and in which periods?

4. Is there a current Form W-8BEN-E on file with Amazon for the selling entity?

5. Do you know whether Amazon has issued you a Form 1099-K, a Form 1042-S, or neither?

6. Has anyone tested your Canadian sales against $30,000 over four consecutive calendar quarters?

Case Studies: Amazon Seller Accounting & Tax

Acton — Three Years Reported From the Bank Deposits

The problem: A seller in Acton had filed three corporate returns with sales taken straight from the Amazon transfers landing in the business account. Nothing was concealed and no marketplace fee had ever been claimed, because every fee had already been removed before the money arrived. Reported sales sat well under the real figure and the expense side was close to empty.

What we did: We pulled the settlement reports for all three years, posted gross sales, refunds and each class of fee separately, and tied every deposit back to the report behind it. The amended returns lifted reported revenue and lifted deductible fees by a broadly similar amount, and we filed them in order starting with the earliest year.

The result:

  • Three years rebuilt from Amazon’s own settlement reports
  • Revenue and marketplace fees both restored to the returns
  • Sales tax registration date settled on the reconciled figures

Georgetown — A Transfer That Arrived Short, and Nobody Knew Why

The problem: A Georgetown seller’s transfers dropped noticeably across two settlement periods and the working assumption was that Amazon had raised its fees. The bookkeeping recorded deposits only, so there was no way to see which line had actually moved, and nobody had looked at the tax documentation held for the entity since the account was first opened.

What we did: We reconciled both periods from the settlement reports and established that the shortfall was not a fee at all. We then retrieved what Amazon held for the entity, confirmed the state of the tax interview and the Form W-8BEN-E on file, and put the remaining United States questions to a practitioner licensed to answer them.

The result:

  • Both periods reconciled line by line from the reports
  • Documentation Amazon holds for the entity confirmed
  • United States questions referred out, not guessed at

Rockwood — A Long List of States and No Way to Choose

The problem: A Rockwood seller had been handed one list of states to register in by a software subscription and a different list by a seller forum. Stock had been moved between fulfilment centres repeatedly, nobody had recorded where it had been held or when, and the sales reports had never once been broken down by destination.

What we did: We built the footprint from Amazon’s own inventory and sales reports: where stock had been stored, in which periods, and what had been sold into each state. We expressed no view on any state’s law. The finished footprint went, with Amazon’s collection record beside it, to a United States state and local tax specialist to decide the registrations on.

The result:

  • Inventory and sales footprint built from source reports
  • Amazon’s collection record assembled period by period
  • State law left to somebody licensed to decide it

Our Simple Process

How We Work With Amazon US Sellers Based in Canada

Know Exact Fees within 2 Minutes NOW

Our clear, efficient process ensures every step is transparent, building trust and long-term client relationships.

The shape of the engagement:
Step 1

Kickoff (Document Request)

What we ask for first: the settlement reports covering every open period, the fee and advertising statements behind them, the inventory and reimbursement reports, your business bank statements, anything already received from the Canada Revenue Agency, and whatever tax documentation Amazon currently holds for the selling entity.

Step 2

First 30 Days (Reconciliation & Setup)

The settlement reports posted period by period with each class of fee in its own account, deposits tied back to the reports that produced them, the registration question tested against the rolling four-quarter figure, and the inventory position taken from Amazon’s reports rather than from memory.

Step 3

Monthly Close

Each settlement posted on arrival and its deposit matched to it, fees and advertising reviewed against sales, the inventory and reimbursement reports pulled down before they age out of the account, and the sales figure kept current so nothing has to be reconstructed later.

Step 4

Quarterly Planning Review

The rolling four-quarter sales figure checked against the $30,000 threshold, profit reviewed against the first $500,000 band, instalments retested, and any change in where stock is being stored recorded while the reports still show it rather than after they have rolled off.

Step 5

Year-End Close & T2 Filing

The year’s settlements reconciled to the bank in full, closing inventory counted from the reports, the corporate return prepared from reconciled profit, the sales tax returns agreed to the same sales figure, and the six-year record bundle closed off under section 230.

Amazon Seller Accounting & Tax FAQs

Do I have to collect US state sales tax on my Amazon.com sales?
Not in the way the question is usually meant. Sales tax in the United States is administered by the individual states rather than federally, so there is no single answer, no national registration and no one threshold that settles it. Under what are generally called marketplace facilitator rules, the duty to collect and remit tax on a marketplace sale has been moved onto the marketplace itself in a great many states, which means Amazon rather than you is collecting on those transactions. What that leaves you still required to do differs from state to state, and it can run from registering and filing a return that shows the marketplace sales, through to nothing at all. We will not tell you which of those applies in a named state from a web page, because the rules have been amended repeatedly and being wrong in either direction costs money. What we do is assemble the facts a state determination needs and take the conclusion with a specialist.
If Amazon collects the sales tax, do I still have to register in a state?
This is the central question on this page and the honest answer is that it depends on the state. A facilitator collecting on your behalf changes who hands the money over; it does not by itself settle whether you have a registration or a filing obligation of your own there. Some states treat marketplace sales as taking the seller out of the system for those transactions. Others want the seller registered anyway, or want the marketplace sales reported even though somebody else paid the tax, or treat the position differently again where you also sell through your own website alongside the marketplace. Those are state law questions with state law answers and they are not the same answer twice. The way to get them right is to establish the facts first: where your stock has been held, what you sold into each state, and what Amazon collected. We build exactly that, and then it is answered state by state rather than all at once.
What is economic nexus, and how is it measured?
Economic nexus is the idea that a seller can pick up a sales tax obligation in a state purely from the volume of its sales into that state, with no office, no staff and no property sitting there. Every state applying it sets its own measure, usually some combination of a sales figure and a count of transactions over a defined period, and those measures have been amended many times and are still being amended. That is why there is no threshold table on this page. A table of that kind is only useful if it is right for every state on it on the day you read it, and we are not prepared to publish one we cannot stand behind state by state. What we will do is measure your actual sales by destination state out of Amazon’s reports, which is the input any threshold test needs, and have the test itself applied by somebody qualified to apply it.
How many states do I actually need to worry about?
Fewer than the alarming answer and more than the comfortable one, and the only honest way to narrow it is with your own figures. Three things build the shortlist. Where your stock has physically been held, which for a seller using Amazon’s fulfilment network is a question the inventory reports answer and nobody’s recollection does. What you have sold into each state, by value and by order count, across the periods the states measure over. And what Amazon has already collected and remitted on those sales. Once those three sit on one page, the list of states needing a real answer is normally much shorter than the list a software subscription will happily register you in. We build that page. We do not decide the registrations, because that is a United States state law determination, and we would rather say so than charge you for a view we cannot stand behind.
What is a Form W-8BEN-E, and why does Amazon want one?
It is a United States Internal Revenue Service form on which an entity that is not a US entity certifies who it is and where it is resident for tax purposes. Amazon asks a Canadian corporate seller to complete a tax interview and to provide one, and a certification of that kind does not necessarily stay current once it has been filed. What Amazon does when the form is missing, has expired, or names an entity that is not the one actually selling, is a question we answer by looking at what Amazon currently holds on your account rather than by predicting the consequence for you in advance. Retrieving that record takes one short session and is worth doing before anybody is hunting for a transfer that arrived smaller than expected. Where the form itself has to be completed or corrected, the treaty positions on it are confirmed with a practitioner licensed in the United States.
Why did my Amazon transfer arrive smaller than the settlement report said?
Rule out the ordinary explanations first, because most of the time it is one of them. Amazon holds reserves against pending returns and chargebacks. Removal order and long-term storage charges land in some periods and not others. Advertising is sometimes billed against the transfer and sometimes against a card. A loan repayment, a chargeback, or a refund processed after the period closed will each do it on their own. The only way to tell which applies is to reconcile the period from the settlement report line by line, and that needs a ledger rather than a bank statement. If a difference is still unexplained once that is done, the next place to look is the tax documentation Amazon holds for your entity, and at that point the question has become a United States one and we bring in somebody qualified on that side rather than speculating.
Is a Form 1099-K the same thing as a Form 1042-S?
No. They are two different United States information returns serving two different purposes. Broadly, a 1099-K reports payment card and third-party network transactions, while a 1042-S reports income from United States sources paid to a foreign person together with any amount withheld from it. Which of the two a Canadian corporate seller actually receives from Amazon, and in what circumstances, is not something we will guess at on a web page, and you should be wary of anybody who does. What we will say is that it is worth knowing which one arrived, because the answer tells you something about how Amazon has classified your entity and the income it is paying you, and that classification is precisely the thing to check if it looks wrong. Bring us whatever arrived and we will read it with you, with a United States practitioner where the answer belongs on that side.
Do I need an EIN to sell on Amazon.com, and do I need an ITIN as well?
They are two different numbers for two different kinds of taxpayer, and it is worth separating them before anybody applies for anything. An Employer Identification Number is issued to an entity. An Individual Taxpayer Identification Number is issued to an individual who is not eligible for a United States social security number. A Canadian corporation selling through a United States marketplace, and the person who owns that corporation, therefore sit in two different queues and are not interchangeable. Whether your company needs the first, whether you personally need the second, and whether any arrangement genuinely needs both, follows from which United States filings and certifications actually apply to you, and that is a United States determination. We will not call either of them mandatory in order to sound decisive. We will set out what your arrangement involves, and the application itself is straightforward once somebody has decided which number it needs.
Should I file a protective United States corporate return?
It is a decision with a cost on both sides rather than the free precaution it is often sold as. Filing a return of that kind costs preparation time and professional fees in every year it is filed, and it puts the company into a filing pattern that then has to be maintained and explained if it stops. Not filing leaves a question open instead. Exactly what the filing preserves, in which circumstances, and for how long, is United States law and it turns on facts about your own arrangement, so we do not reduce it to a rule of thumb for a web page. The useful way through is to establish the facts, price the filing properly, and weigh that price against the exposure with a practitioner who can speak to the position itself. It is a conversation worth having deliberately once rather than reopening every spring.
Do I report my Amazon sales in Canadian dollars?
Your Canadian corporate return is prepared in Canadian dollars, so sales settled in US dollars have to be converted on a basis that is stated and then applied consistently. Three habits prevent every problem we see here. Convert the settlement report rather than the bank deposit, because the deposit has already had fees and a currency conversion of somebody else’s choosing applied to it. Record which rate source you used and keep using the same one from year to year, since a reviewer’s first question about a converted figure is where the rate came from. And where you hold a US dollar account and move money across at a different moment from the sale, treat the gain or loss on that movement as its own item rather than folding it into revenue. Put those three in place in the first year and the question stops recurring.
Do I charge GST/HST on my Amazon sales?
Registration comes first and it is a Canadian question with a clear test. You must register once taxable supplies reach $30,000 inside four consecutive calendar quarters; that count rolls forward quarter by quarter and takes no notice of your fiscal year, which is why a growing seller trips it mid-year. Where a supply is made in Ontario the rate is 13%. Which of your orders a Canadian rate reaches is a question about where the supply is made, and it is not answered by where your stock happens to be sitting or by which marketplace recorded the sale. That question has a page of its own rather than a paragraph here: our Amazon seller GST/HST page works through it, and our FBA GST/HST calculator will show you where you currently stand against the threshold before you book anything with us. Once registered, the sales on those returns and the sales on your corporate return have to be one figure.
What records does CRA expect from a marketplace seller?
Considerably more than the bank statements, and this is where marketplace files are usually thin. The settlement reports are the primary record of what you sold, because they are the only document that shows gross sales before anything was taken out of them. Beyond those: the fee and advertising statements, the inventory and reimbursement reports, the refund and chargeback detail, the customs and freight paperwork for goods you sent in, and the bank record for every transfer received. Section 230 of the Income Tax Act sets the retention period at six years, and the practical difficulty with marketplace records is availability rather than retention, because reports age out of a seller account long before six years have passed. Download them as they are produced and keep them outside the platform. And where a year was never filed, subsection 152(7) leaves the Agency free to assess it out of whatever material happens to be in its possession.
I have been selling for years with no United States filings. What happens now?
Take the two countries in order, because they have different routes and different urgency. On the Canadian side, where income went unreported or a registration should have been made, the Voluntary Disclosures Program is the route and Form RC199 carries the submission; coming forward before the Canada Revenue Agency writes to you about those years is worth real money, and once a letter has arrived about them that route is closed for those years. Form RC4288 is the separate request to cancel penalties and interest. On the United States side there are also routes open to a taxpayer who has not filed, and we are deliberately not describing them here, because they are United States procedures with United States conditions and we are not the right people to be reading those conditions to you. What we do is get the Canadian position fixed and the facts documented, which is what any adviser on that side will want in front of them in any event.

Amazon Seller Accounting & Tax Done Right.

Settlement reports reconciled period by period, so gross sales, referral fees, fulfilment fees, storage, long-term storage, removals, reimbursements, advertising and chargebacks are each posted as what they are and the transfer that reaches your bank stops being treated as your revenue. Corporate returns built from that reconciliation, with about 12.2% combined Ontario reaching the first $500,000 of active business income under section 125 and read against profit rather than against a dashboard figure. GST/HST registration tested against $30,000 over four consecutive calendar quarters, and 13% where the supply is made in Ontario. Section 230 records kept for six years, including the reports that age out of a seller account well before that. Where a year was never filed, subsection 152(7) lets the Agency assess on what it already holds, and Form RC4288 and Form RC199 are the routes back. On the United States side we build the inventory and sales footprint a state determination needs, confirm what documentation Amazon holds for your entity, and bring in a practitioner licensed there rather than guessing at state law.
