This is a simple, practical Excel workbook for keeping your business books in order without accounting software. You enter each sale and expense on one sheet, and the rest of the workbook does the maths: it sorts your income and expenses by month, calculates your profit, and tracks the HST you have collected against the HST you have paid.
It is built for the owner who wants clean books they actually understand, not a complicated system. Everything you type goes in clearly marked blue cells. Every total is a formula that updates the moment you enter a row, so you always know where the business stands.
Clean books save you money at tax time. When your bookkeeping is current and accurate, preparing your year-end and your corporate return is faster and cheaper. When it is a shoebox of receipts, the books have to be rebuilt first, which costs more. This template keeps you on the right side of that line. Know Your Exact Fee →
2. What's Inside the Workbook
The template has five sheets that work together. You only ever type on one of them.
| Sheet | What It Is For |
|---|---|
| Start Here | Plain-language instructions, the colour rule, and what each sheet does. |
| Transactions | Your ledger and the only sheet you type on. One row per sale or expense, with drop-down categories and an automatic total. |
| Monthly Summary | Income, expenses and net profit by month, plus a full-year breakdown of expenses by category, all calculated automatically. |
| HST Tracker | HST collected on sales versus HST paid on expenses, by quarter, so you can see your net position before you file. |
| Categories | The income and expense category lists that feed the drop-downs. Edit them to match your business. |
The colour rule keeps it simple. Type only in the blue cells. Black cells are formulas that calculate for you, and you never overwrite them. That one rule is the whole system; follow it and the workbook keeps itself accurate.
3. How to Use It, Step by Step
You can be up and running in a few minutes. Here is the order of operations.
| Step | What to Do |
|---|---|
| 1. Delete the sample rows | The Transactions sheet opens with five example rows so you can see how it works. Delete them and start fresh. |
| 2. Enter each transaction | One row per sale or expense: date, type, category from the drop-down, a short description, the pre-tax amount and the HST. |
| 3. Keep amount and HST separate | Put the pre-tax amount in one column and the HST in the next. This keeps your filing clean and your profit accurate. |
| 4. Read your numbers | Open the Monthly Summary and HST Tracker any time. They update automatically; you never type on them. |
| 5. Set the year | Each summary sheet has one yellow year cell. Change it to roll the reports to a new year. |
| 6. Send it to us at year-end | When it is time to file, send us the workbook. Clean books mean a faster, more affordable return. |
Record transactions as they happen, not at year-end. The single biggest reason books fall apart is leaving everything to the last minute. A few minutes each week keeps the workbook current, your HST visible, and your year-end painless. If you are already behind, we can catch you up. Catch-Up Bookkeeping →
4. Why Bookkeeping Matters for Your Corporation
Bookkeeping is not optional paperwork. For a Canadian corporation it is the foundation of every filing you make, and the law requires you to keep proper records.
| Reason | Why It Matters |
|---|---|
| It is legally required | Canadian businesses must keep adequate books and records, and retain them for at least six years from the end of the tax year they relate to. |
| It feeds your T2 and HST | Your corporate return and HST filings are built directly from your books. No clean books, no accurate filing. |
| It protects every deduction | A legitimate expense you cannot support with a record can be denied. Good books capture the deductions you are entitled to. |
| It keeps you audit-ready | If the CRA reviews you, organized records make it routine. Weak records turn a review into a problem. |
| It shows if you are profitable | You cannot manage what you do not measure. The summary tells you, month by month, whether the business is making money. |
| It supports financing | Lenders want current figures. Books that are up to date make credit and renewals far easier. |
Bookkeeping is where your financial statements and tax return begin. The numbers on your year-end statements and your T2 come straight out of your books. That is why getting the bookkeeping right, even in a simple template like this, pays off all the way down the line. Bookkeeping Services →
5. Common Bookkeeping Mistakes to Avoid
The same handful of errors cause most of the bookkeeping problems we see. This template is designed to steer you away from them, but they are worth knowing.
| Mistake | Why It Hurts |
|---|---|
| Mixing business and personal | Running personal spending through the business muddies the books and invites CRA questions. Keep a separate business account. |
| Leaving it all to year-end | A year of receipts dumped in March is slow and costly to reconstruct, and deductions get missed. |
| Not separating HST | Lumping HST into the expense amount distorts your profit and complicates your filing. Always record it separately. |
| No receipts kept | An entry with no supporting receipt can be denied on review. Keep the document behind every line. |
| Guessing categories | Inconsistent categories make the summary meaningless. Use the drop-down list and stay consistent. |
| Never reconciling to the bank | If the books do not match the bank, something is missing or double-counted. Compare regularly. |
A template is only as good as the habit behind it. The workbook does the maths, but it cannot enter the transactions for you or keep your receipts. Treat it as a weekly five-minute routine and it will keep your business clean and your year-end cheap. Fall behind and even the best template cannot save the time.
6. When to Hand It to a CPA
This template will carry many small businesses comfortably. There are points, though, where bringing in a CPA saves you money and risk rather than costing you.
| Situation | Why a CPA Helps |
|---|---|
| Year-end and your T2 | Your corporate return, financial statements and the GIFI should be prepared by a CPA from your books. |
| HST filing | We confirm your filing frequency, method and input tax credits so the remittance is right. |
| Payroll | Source deductions, T4s and remittances have strict rules and deadlines that are easy to get wrong. |
| You have fallen behind | If the books are months or years out of date, we reconstruct and reconcile them before filing. |
| Growth or complexity | As transactions, staff or accounts grow, software and a CPA become worth the move. |
| A CRA letter arrives | If the CRA reviews or queries you, organized books plus CPA representation make it manageable. |
