AFFORDABLE Payroll Services in Mississauga for CRA Remittances, T4s and Full Employer Compliance

Payroll is the one obligation the CRA treats as trust money. The CPP, EI and income tax you withhold from your staff are not your funds, and the penalty structure reflects that. Miss a remittance by one to three days and the penalty is 3%. Four to five days, 5%. Six to seven days, 7%. More than seven days, 10%. Repeat or grossly negligent failures reach 20%, and interest compounds daily on top. Worse, the penalty applies per occurrence, so four missed deadlines means four penalties, not one.

We run payroll services for Mississauga employers on an AFFORDABLE flat monthly fee set by your employee count and pay frequency. Pay runs on your schedule. Direct deposit to your staff. CRA remittances filed on your assigned remitter schedule. PD7A reconciled. Taxable benefits captured. T4 and T4A slips filed by the February deadline. ROEs issued on termination. WSIB and Employer Health Tax handled. From Square One and City Centre to Streetsville, Port Credit, Meadowvale, Erin Mills, Cooksville, Malton and Clarkson, we keep Mississauga employers compliant.

Case Studies: Payroll Services in Mississauga

Real payroll engagements with Mississauga employers. Figures are illustrative of the outcomes our payroll work delivers.

Logistics Company, Meadowvale (Remitter Threshold Missed)

A growing logistics company in Meadowvale had crossed the accelerated remitter threshold without realising it, and was still remitting monthly. Penalties had been assessed on several periods. We confirmed the correct remitter type, brought the remittances current, filed a Taxpayer Relief request on the periods that qualified, and rebuilt the remittance calendar. Payroll Compliance →

Remitter type corrected. Penalty relief filed. Calendar rebuilt.

Medical Clinic, Cooksville (T4 Reconciliation)

A medical clinic in Cooksville had T4 slips that did not reconcile to its CRA remittances, with taxable benefits never added to employment income. We identified the unreported benefits, corrected the year-to-date figures, filed amended slips and reconciled the PD7A so the account matched. The clinic moved to managed payroll.

T4s reconciled to remittances. Benefits captured correctly.

Restaurant Group, Port Credit (Multi-Location Payroll)

A restaurant group in Port Credit ran payroll across three locations on spreadsheets, with inconsistent vacation pay and no ROE process. We consolidated all locations onto one payroll platform, standardised vacation accrual, automated the remittances and set up proper ROE handling for a high-turnover workforce. Payroll Processing →

Three locations consolidated. ROE process established.

Construction Contractor, Malton (WSIB and Arrears)

A construction contractor in Malton had missed payroll remittances and WSIB reporting, and the sole director faced a personal assessment for unremitted source deductions. We filed the outstanding remittances and T4s, brought WSIB current, and negotiated a payment arrangement that resolved the director exposure. WSIB Reporting →

Arrears cleared. WSIB current. Director exposure resolved.

CRA Remitter Types and Deadlines

Remitter TypeAverage Monthly WithholdingWhen You Remit
QuarterlyUnder $3,000 with a clean compliance recordQuarterly, by the 15th after quarter end
Regular (monthly)Under $25,000By the 15th of the following month
Accelerated threshold 1$25,000 to $99,999Twice a month, on the 25th and the 10th
Accelerated threshold 2$100,000 and aboveWithin 3 business days of every pay date

The CRA Does Not Warn You When Your Schedule Changes: The CRA reviews your average monthly withholding amount each year and can move you to an accelerated schedule effective the following January. Growing Mississauga businesses often discover the change only after a late-remittance penalty. We monitor your withholding amount so the deadline never moves without you knowing.

CRA Payroll Penalties and Interest

FailurePenaltyInterest
Remittance 1 to 3 days late3% of the amount dueCompounds daily at the prescribed rate
Remittance 4 to 5 days late5% of the amount dueCompounds daily
Remittance 6 to 7 days late7% of the amount dueCompounds daily
Remittance more than 7 days late10% of the amount dueCompounds daily
Repeat or gross negligence20% of the amount dueCompounds daily
Late T4 slipsFrom $100 per slip, escalatingApplies per slip, not per filing

Source Deductions Are Trust Funds: The CPP, EI and income tax withheld from your staff are held in trust for the CRA. Directors can be assessed personally for amounts the corporation failed to remit, along with penalties and interest, even after the corporation is dissolved.

The CRA prescribed interest rate changes quarterly. Penalties apply per occurrence, so several missed deadlines mean several penalties.

Frequently Asked Questions: Payroll Services Mississauga

How much do payroll services cost in Mississauga?
Payroll is an AFFORDABLE flat monthly fee based on your employee count and pay frequency, confirmed before any work begins, with no hourly billing and no per-run surprises. All fees include HST. Please use our pricing calculator for an exact figure for your business. Know Your Exact Fee →
What is included in your Mississauga payroll service?
Pay runs on your schedule, CPP, EI and income tax calculated and withheld, direct deposit to your staff, CRA remittances filed on your assigned schedule, PD7A reconciliation, taxable benefits handled, year-end T4 and T4A slips and summary, ROEs on termination, and WSIB and Employer Health Tax reporting where they apply. Everything an Ontario employer needs, on one flat fee including HST.
When are CRA payroll remittances due?
It depends on your remitter type, which the CRA assigns from your average monthly withholding amount. Regular remitters under $25,000 remit by the 15th of the following month. Accelerated threshold 1, from $25,000 to $99,999, remits twice a month. Accelerated threshold 2, at $100,000 and above, remits within three business days of each pay date. We track your assigned schedule so nothing is missed.
What is the penalty for late payroll remittances?
The CRA penalty starts at 3% for amounts one to three days late, rises to 5% for four to five days, 7% for six to seven days, and 10% for anything more than seven days late, with a 20% tier for repeat or grossly negligent failures. Interest compounds daily on top, and the penalty applies per occurrence, not per year. Missing four deadlines means four penalties.
What is average monthly withholding amount?
Average monthly withholding amount, or AMWA, is the average of the CPP, EI and income tax you remitted in prior years, and it is what the CRA uses to assign your remitter type. It matters because as your payroll grows, your AMWA can cross a threshold and move you to a faster remittance schedule. We monitor it so a growing business never gets caught out.
Does the CRA tell me if my remitter type changes?
Not reliably, and this catches many growing Mississauga businesses. The CRA reviews your average monthly withholding amount each calendar year and can reassign you to an accelerated schedule effective the following January, but businesses often only discover the change after a late-remittance penalty. We watch your AMWA and adjust your remittance calendar before the deadline moves.
When are T4 slips due?
T4 and T4A slips and the related summary are due by the last day of February for the previous calendar year. Late T4 penalties start at $100 per slip and escalate with the number of slips and repeat failures, and every T4 has to reconcile to what you actually remitted through the year. We prepare and file your T4s and reconcile them to your remittances.
Do employers have to match CPP and EI?
Yes. Employers match employee CPP contributions one for one, and pay EI premiums at 1.4 times the employee premium. Both the employee withholdings and the employer portions are remitted together to the CRA on your assigned schedule. This employer cost is real and has to be budgeted, which is why we build the full loaded payroll cost into your reporting.
What is a PD7A?
The PD7A is the CRA's statement of account for your payroll program, showing what the CRA has recorded as remitted against your account. It should be reconciled regularly, because a discrepancy between your records and the CRA's is far easier to resolve early than at year end when it can hold up your T4 filing. We reconcile your PD7A as part of the service.
Do I need WSIB coverage in Mississauga?
Most Ontario employers do, from the moment they hire their first employee, though coverage requirements vary by industry. WSIB premiums are reported and paid separately from your CRA remittances, and clearance certificates are often required when working with other businesses. We handle WSIB reporting alongside your payroll so both obligations stay current.
What is Employer Health Tax?
Employer Health Tax, or EHT, is an Ontario payroll tax on remuneration paid to employees, with an exemption available to eligible employers below a threshold. It is separate from your CRA remittances and is reported to the Ontario Ministry of Finance. Many Mississauga employers miss it entirely until they are reassessed. We track your EHT position and file where it applies.
Can you handle payroll for my incorporated business?
Yes. Most of our Mississauga payroll clients are incorporated businesses, including owner-managed corporations where the owner takes a salary. We handle the payroll account setup, the pay runs, remittances, the owner's T4 and the coordination with your salary and dividend planning, so payroll and corporate tax work together rather than separately.
Do you handle owner salary and dividends?
Yes. For owner-managed corporations, we run the owner's salary through payroll correctly, remit the source deductions, and issue the T4, while coordinating with the dividend side so your overall compensation mix is tax-efficient. Getting the salary and dividend balance right is part of planning, not just payroll processing, and we handle both together.
What payroll software do you use?
We run payroll on Wagepoint, and we work with QuickBooks Online and Xero payroll where clients already use them. The software is set up correctly, integrated with your bookkeeping, and maintained with current CPP, EI and tax rates, so the calculations are right from January forward and your payroll journal flows properly into your books.
Can you take over payroll mid-year?
Yes. We transfer your year-to-date payroll figures, verify them against your CRA remittances and PD7A, set up the new system with your remitter type and schedule, and continue seamlessly. Mid-year transitions are common and straightforward when the year-to-date data is reconciled properly, which is the part we take care to get right.
What if my payroll remittances are already behind?
We can help. We calculate the outstanding remittances, file them, quantify the penalties and interest, and where extraordinary circumstances apply we file a Taxpayer Relief request. Then we set you up on a compliant ongoing schedule so it does not happen again. Bringing arrears current is far better than letting the penalties compound.
Can the CRA hold directors personally liable for payroll?
Yes. Unremitted source deductions are trust funds, and the CRA can assess directors personally for amounts the corporation failed to remit, along with penalties and interest. This is one of the most serious exposures in payroll, which is why remittances should never be treated as flexible cash flow. We keep your remittances current so the exposure does not arise.
Do you prepare Records of Employment?
Yes. When an employee leaves, is laid off or has an interruption of earnings, a Record of Employment must be issued to Service Canada within the required timeframe, and errors delay your former employee's EI claim. We prepare and file ROEs accurately as part of the payroll service, so terminations are handled properly.
How do you handle taxable benefits?
Taxable benefits such as vehicle allowances, parking, cell phones, insurance premiums and gifts have to be valued, added to employment income, and included in the source deductions and on the T4. Missing them is a common cause of year-end reconciliation problems and CRA reassessment. We identify and calculate your taxable benefits through the year, not just at year end.
Can you run payroll for employees in other provinces?
Yes. If you employ staff outside Ontario, the withholding rates, provincial rules and any provincial payroll taxes differ by province, and Quebec operates its own parallel system. We set up multi-province payroll correctly so each employee is withheld and reported under the right rules, while keeping the whole payroll on one schedule for you.
How often can I run payroll?
Whatever suits your business: weekly, biweekly, semi-monthly or monthly. The pay frequency you choose affects your remittance calendar, particularly if you are an accelerated remitter, so we set the two up together. Most Mississauga small businesses run biweekly or semi-monthly, but we accommodate whatever fits your operations and cash flow.
Do you offer direct deposit?
Yes. Your employees are paid by direct deposit on your chosen pay dates, with electronic pay statements, so there are no cheques to print or distribute. Direct deposit also produces a clean audit trail that reconciles to your bank and your payroll records, which makes year-end and any CRA review far simpler.
Is my payroll data secure?
Yes. Payroll data is handled through secure, encrypted systems and our client portal rather than email, and access is limited to the team working on your file. Employee personal information, SINs and banking details are treated with the confidentiality a licensed CPA firm is required to maintain.
Do you serve businesses across Mississauga?
Yes. We serve employers throughout Mississauga, from Square One and City Centre to Streetsville, Port Credit, Meadowvale, Erin Mills, Cooksville, Malton, Clarkson, Lorne Park, Applewood, Churchill Meadows and Lisgar, and across the wider GTA. Everything is delivered virtually through our secure portal, so your location within the city is never a constraint.
Do I need to be in Mississauga to work with you?
No. We have a Mississauga office and serve employers across Ontario and Canada entirely remotely through our secure portal. Payroll is a fully digital service, so whether you are down the road in Cooksville or elsewhere in the province, the service is identical and nothing requires an in-person visit.
Can you combine payroll with bookkeeping and tax?
Yes, and it works better that way. When the same firm runs your payroll, your bookkeeping and your corporate tax, the payroll journals flow correctly into your books, the T4s reconcile, and your owner compensation is planned alongside your corporate return. Many Mississauga clients bundle the three, which is both simpler and more AFFORDABLE than splitting them.
How quickly can you set up payroll?
Usually within a few business days once we have your CRA payroll account number, employee details and TD1 forms. If you do not yet have a payroll program account, we register one for you. For a first pay run, the main thing is having employee information and banking details ready, and we tell you exactly what to send.
Are your fees inclusive of HST?
Yes. All quoted fees include HST, so the number you are quoted is the number you pay. Payment is by Interac e-Transfer to info@gondaliyacpa.ca with auto-deposit enabled, so the security question is Not Applicable. The fee is confirmed in writing before any work begins.
Do you offer a guarantee?
Yes. We offer a 30-Day Money-Back Guarantee and a 60-Day Fees-Matching Policy, alongside 1300+ five-star Google reviews from business owners across Ontario and Canada. We are a fully licensed CPA Ontario firm, and you can verify our registration directly with CPA Ontario.
